Key Responsibilities
- Greet and assist patients with warmth and professionalism, creating a welcoming environment
- Oversee daily administrative operations of the clinic
- Complete new patient intake, insurance verification, appointment scheduling, and copay collection
- Maintain accurate medical records and patient communication in compliance with HIPAA guidelines
- Facilitate clear communication between patients and the clinical team
- Answer and direct phone calls; respond through digital patient platforms
- Coordinate with the external billing company regarding insurance, billing, and collections
- Monitor and order office and medical supplies as needed
- Ensure adherence to clinic policies and all state and federal regulations
- Learn and support TMS and Spravato treatment processes
- Contribute ideas to improve office systems, workflows, and patient experience
Qualifications
- High school diploma or GED required
- Minimum 1 year of experience in a medical front office or receptionist role preferred
- Psychiatric or mental health front desk experience strongly preferred
- Strong computer skills, including proficiency in Microsoft Excel and Word
- Excellent organizational, multitasking, and time-management abilities
- Strong written and verbal communication skills
- Friendly, compassionate, and professional demeanor
- Ability to work independently and as part of a collaborative team
- Experience with EMR systems is a plus
Additional Details
- Role requires sitting for approximately 80% of the workday, with occasional standing and walking
- 90-day probationary period; performance-based pay review may follow
