Job description:
We are seeking an Office Associate to assist with business operations, from human resources to finance. They ensure that all aspects, from hiring new employees to AR/AP processing and managing office communications, are running smoothly. The Office Associate will also provide discreet and confidential assistance to the c-suite team that will aid in company HR-related inquiries, new policy rollout, vendor payment processing, and employee benefits management. They will be able to independently work and periodically represent the company at various tradeshows and assist the Marketing and Graphic Design team with booth setup and teardown. This individual will also be the lead for all office-related corporate events.
Job Function:
HR
- Collect, process and manager paperwork for new hires, terminations, and counsel reports via ADP Workforce Now
- Maintain employee HR folders
- Act as the company HR Business Rep between ADP Workforce Now and Percipia
- Manage yearly Dental, Vision, HSA, 401k, Life Insurance renewals via ADP TotalSource
- Manage yearly BCBS medical insurance renews via ADP Workforce
- Now (October)
- Be an HR liaison for all US employee’s – go to for employee HR assistance and confidential complaints
Account Management
- Assist Customer Success Manager (CMS) manage and support client records via Zoho CRM
CRM and physical folders
- Input new products into Zoho CRM
Financial
- Generate, manage, and process client invoices
- Deposit checks via Chase Business (office check scanner) or physically go to the bank
- Process and issue payment to utility providers, reseller partners, and employee reimbursements
- Review employee credit card charges for accuracy
- Process quarterly tax statements for Texas Department of Revenue
Business Administration
- File all paperwork
- Maintain and purchase office supplies
- Work with vendors to purchase any hardware/software
- Send and receive packages and mail
- Issue MNDA and Reseller Agreements to new partners
- Generate and distribute office announcements, holiday’s, birthday’s
- Plan and execute company events and outings
- Travel to select tradeshows to assist with setup
- Provide project and/or task assistance to CEO and COO
Requirements
- Associate’s degree (preferred)
- Strong problem identification and objection resolution skills
- Able to build and maintain office moral
- Exceptional verbal communication and presentation skills
- Excellent listening skills
- Strong written communication skills
- Self-motivated, with high energy and an engaging level of enthusiasm
- Ability to travel and attend sales events or exhibits
- Ability to work individually and as a part of a team
- High level of integrity and ethical leadership abilities
- Experience with customer relationship management (CRM) software
- Valid driver’s license
- Able to lift 30-50 lbs
Work Conditions
