Essential Tasks And Responsibilities
- Answers and directs all phone calls, manage calls by routing them or taking messages as needed.
- Greet and assist all visitors; maintains accurate visitor logs to track facility entry/exit; and issues visitor badges in accordance with site procedures.
- Receives deliveries; logs incoming packages and mail; sorts and distributes mail; and schedules outbound shipments (FedEx, UPS, etc.) and courier service pickups.
- Keeps reception, conference rooms, and breakrooms safe, neat, and clean by following safety procedures; keeps areas clutter-free and stocked with appropriate supplies.
- Assists with coordinating meals, snacks, and supplies for scheduled meetings in building conference rooms.
- Maintains supply and breakroom inventory; monitors stock levels and places orders to ensure appropriate supplies are available.
- Performs administrative tasks assigned, which may include confidential data; completes work in an organized and efficient manner in accordance with company policy.
- High school or equivalent.
- Ability to efficiently multi-task, prioritize and organize workload.
- Strong interpersonal skills with the ability to build rapport and interact professionally with diverse individuals.
- Ability to communicate effectively verbally and in writing.
- Demonstrated critical thinking and problem-solving skills, with the ability to assess situations quickly and resolve issues in real time.
- Resourceful team-player and be effective independently.
- Ability to handle confidential information with discretion.
- MS Office suites: 1 year (preferred).
- Customer Service: 1 year (preferred).
- Ability to work autonomously and to collaborate fully as a team player.
- Ability to pay close attention to details, and present good planning, organization, and time management skills.
- Ability to work in a team environment and willingness to assume additional or new responsibilities readily.
- Ability to maintain regular attendance as per work schedule agreed with manager (may require working an adjusted work schedule based on project assigned and work overtime if warranted).
- Ability to comply with applicable laws and regulations and Company policies and procedures.
- Spends 100% of the time in an office environment.
- Is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms, and talk or hear.
- Is occasionally required to stand, walk, and stoop, kneel, or crouch.
- Occasionally lift and/or move up to 25 pounds.
