Position Summary
We are seeking a highly organized, customer-focused Assistant Property Manager to support the daily operations of a growing residential property management portfolio. The ideal candidate will excel in communication, maintenance coordination, leasing support, and administrative tasks while providing exceptional service to property owners, tenants, and vendors.
Key Responsibilities
Tenant Relations
- Respond to tenant calls, emails, and maintenance requests within reasonable time-frame.
- Assist with preparing notices, lease addendums, non-renewal notices, HOA violation notices, and other property-related correspondence.
- Address tenant concerns and escalate significant issues to the Property Manager as needed.
- Maintain professional and positive tenant relationships through consistent communication.
Maintenance Coordination
- Enter, monitor, and update work orders in the property management software.
- Coordinate maintenance requests with vendors and follow up regularly until completion.
- Verify tenant satisfaction and work completion before approving vendor invoices.
- Obtain and document owner approval for maintenance expenses when required.
- Ensure all maintenance communications and approvals are properly documented.
Leasing & Property Support
- Process rental applications and communicate approval or denial decisions.
- Monitor lease expirations and coordinate timely renewal communications.
- Conduct move-in inspections and prepare move-in packets, keys, and related documentation.
- Assist with scheduling and conducting annual property inspections.
Administrative Duties
- Maintain accurate records of all tenant, owner, and vendor communications.
- Process vendor invoices and update property files.
- Prepare documentation for eviction proceedings when authorized.
- Ensure tenant and owner files remain complete and up to date.
Rent Collection & Financial Support
- Issue required notices for unpaid rent in accordance with company policies.
- Follow up consistently with tenants regarding outstanding balances.
- Document payment arrangements and monitor compliance.
- Escalate delinquent accounts to the Property Manager when necessary.
Client & Vendor Relations
- Build and maintain positive relationships with property owners, tenants, and vendors.
- Provide regular updates regarding maintenance issues, lease renewals, and property concerns.
- Deliver exceptional customer service through prompt and professional communication.
Qualifications
- Previous property management, real estate, leasing, customer service, or administrative experience preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Proficiency with Microsoft Office and property management software (AppFolio experience preferred).
- Valid driver's license and reliable transportation.
