Job Summary
We are seeking a dynamic and highly organized Secretary to join our team! In this vital role, you will serve as the backbone of our office operations, providing exceptional administrative support, managing communications, and ensuring smooth daily workflows. Your energetic approach and attention to detail will help foster a productive environment, allowing our team to focus on delivering outstanding results. Bilingual abilities and strong computer literacy are highly valued to enhance communication and efficiency across diverse tasks.

Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette.
  • Operate multi-line phone systems to answer inquiries, schedule appointments, and relay messages promptly.
  • Handle data entry, filing, and document proofreading to maintain accurate records and ensure clarity in all correspondence.
  • Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for scheduling, bookkeeping, and administrative tasks.
  • Support calendar management by organizing meetings, appointments, and deadlines efficiently.
  • Provide excellent customer service by assisting clients or patients with inquiries and support needs.
  • Perform general clerical duties including photocopying, emaidling, mailing, and maintaining organized filing systems.

Qualifications

  • Proven experience in office administration or clerical roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and basic computer skills.
  • Excellent phone etiquette with experience managing multi-line phone systems.
  • Bilingual fluency is preferred to effectively communicate with diverse clients or team members.
  • Demonstrated ability to handle data entry, proofreading, filing, and calendar management accurately.
  • Prior experience as a receptionist or personal assistant is advantageous.
  • Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment.
