Job Summary
We are seeking a highly motivated and detail-oriented Clinical Research Operations Coordinator based in or near Los Angeles to join our team. This is a pivotal role that ensures the logistical backbone of a clinical trial runs smoothly and essential support is provided to our study teams and study participants. This individual will be responsible for the end-to-end management of all clinical trial materials, including study products, kits, and study-related supplies, coordinating with external vendors and ensuring seamless inventory control, efficient shipping, and meticulous documentation. The Clinical Research Operations Coordinator will also assist other study team members with their daily tasks, which may include participant engagement and communication and study documentation. The ideal candidate is highly organized, detail-oriented, and has a strong understanding of Good Clinical Practice (GCP) guidelines. While primarily a remote position, this individual must be available to go to the Los Angeles office to perform inventory management, shipping and supply chain logistics. Must be located in or near Los Angeles and able to travel to the Los Angeles office.
Duties & Responsibilities
- Manage and track the inventory of all clinical study products, supplies and materials in the Los Angeles Office.
- Create and maintain product- and supplies-related study documents, including inventory logs and accountability forms.
- Prepare and package study product and study supplies for shipment to participants
- Conduct regular physical and digital audits to maintain accurate inventory counts, reconcile discrepancies, and prevent stockouts or wastage
- Serve as the primary point of contact for external vendors and courier services
- Proactively monitor and track all shipments, troubleshoot delays, and communicate status updates to the clinical team.
- Identify and implement process improvements to enhance the efficiency and cost-effectiveness of clinical supply operations
- Assist the clinical study team with various tasks, including study materials development, participant recruitment, screening and enrollment, participant coordination and support, data collection and data cleaning.
- Serve as a primary point of contact for study participants, maintaining professional and compliant communication at all times.
- Maintain accurate and up-to-date study files and documentation in compliance with Good Clinical Practice (GCP) and company Standard Operating Procedures (SOPs).
- Serve as a primary point of contact for study participants, answering their questions and providing support throughout the trial.
- Participate in day-to-day Clinical Operations activities
- Participate in protocol training and contribute to process improvement initiatives within Clinical Operations.
Requirements and Skills
- Bachelor’s degree in a health, life sciences, or related field, or equivalent clinical research experience.
- Minimum 1–3 years of experience in clinical research, healthcare. Prior involvement with investigational product management, shipping logistics, or inventory control is preferred.
- Demonstrated knowledge of GCP, FDA regulations (21 CFR), and ICH guidelines.
- Experience working with IRBs and familiarity with decentralized or virtual trial methodologies preferred.
- Strong organizational and time management skills with meticulous attention to detail.
- Excellent communication skills, both written and verbal.
- Working knowledge of MS Office suite and Google applications. Willingness to gain expertise in the use of proprietary software.
- Ability to work independently in a remote environment while maintaining accountability to team goals.
- Must be located in or near Los Angeles and able to travel to the West Los Angeles office
