Position Summary
This position is responsible for the processing of the organization’s biweekly payroll and ongoing HRIS systems maintenance. In addition, this position offers administrative support for a wide variety of HR related tasks, including preparation of documents, reporting, and compliance of employee files.
Essential Responsibilities and Accountabilities
Payroll Processing
- Coordinates and prepares biweekly payroll.
- Ensures status changes and other payroll exceptions are recorded accurately.
- Assists employees with timekeeping and payroll issues, as needed.
- Responsible for maintenance of confidential payroll logs, reports, and employee digital and paper files.
HR Administration
- Tracks and updates employee files to record new hires, terminations, job transfers, promotions, I-9s, and NMLS registrations.
- Performs various functions within the primary HRIS system (ADP), including setup, data entry, information verification, system maintenance, and report generation.
- Performs frequent file audits to ensure all required employee documentation is collected and maintained in compliance with Federal and State laws.
- Assists HR Operations Lead in verifying benefit enrollments.
- Assists HR Operations Lead with monthly reconciliations of house accounts.
- Compiles spreadsheets to track service awards, disciplinary actions, community service, paid time off, etc.
- Responsible for updating and formatting HR templates and department procedures. Encouraged to recommend process improvements.
HR Systems
- In tandem with organizational updates and employee changes, updates data in compensation management system (Balanced Comp).
- Collaborates with Learning & Development to update data in learning management system (BAI), as needed.
- Collaborates with HR & Talent Lead to update data in performance management system (Cornerstone), as needed.
- Collaborates with HR Operations Lead to communicate personnel changes to other internal departments for timely updates to the full range of impacted credit union systems, using both formal ticketing system and informal means.
- Assists employees with access to HR-related platforms, as needed.
HR Compliance & Reporting
- Completes various compliance, salary, and benefit related reports and surveys including, but not limited to, the Workers’ Compensation Premium Audit.
- Responsible for gathering data for annual EEO-1, VETS-4212, VEVRAA, and Section 503 reporting.
- Assists with audits and the gathering of requested material.
- Processes month-end reporting for distribution to applicable department Heads.
- Develops (or assists with) internal communications to obtain employee acknowledgement of updated policies, as needed.
Employee Experience
- Develops job opening announcements for external postings and internal notifications.
- Supports HR & Talent Lead and HR Operations Lead in employee orientation processes.
- Responsible for issuing/activating/deactivating of all key fobs.
- Orders name badges and business cards for employees in public-facing positions.
- Maintains evacuation lists and emergency contact list.
- Orders floral arrangements and prepares other tokens of recognition for employee life events.
- Contributes to a positive team culture through day-to-day communications, whether to the entire team, or in response to individual queries.
Organizational Administrative Support
- Sorts and processes incoming and outgoing mail daily.
- Organizes quarterly New Hire Breakfasts.
- Organizes quarterly 401(k) meetings.
- Coordinates (or assists in coordination of) blood drives and other community events.
- Other duties as assigned.

Knowledge and Skills
- High School Diploma or equivalent
- Zero to four years’ experience in payroll practices and procedures (experience with ADP preferred)
- Two to five years’ experience performing administrative functions (experience within a Human Resources department preferred)
- Two to five years’ experience in banking preferred, but not required
- Strong accuracy and attention to detail
- Excellent oral and written communication skills
- Experience in Windows, Microsoft Suite, and Human Resources software

Physical Requirements
- Perform primarily sedentary work with limited physical exertion.
- Must be able to operate routine office equipment.
- Must be able to stand for long periods of time.
- Must be able to routinely perform work on computer for an average of 6-8 hours per day.
- Must be able to work additional hours whenever required or requested by management.
- Must be capable of regular, reliable, and timely attendance.
Working Conditions
- Must be able to routinely perform work indoors in climate-controlled shared work area with minimal noise.
- Must be able to travel to offsite locations; maintain adequate transportation.
