POSITION TITLE: Bookkeeper
POSITION HOURS: 15 hours/week (approximate average)
EXEMPTION STATUS: non-exempt
POSITION PURPOSE: The Bookkeeper supports the mission and goals of People’s Church of Kalamazoo by accurately and efficiently recording and reporting the church’s finances. The Bookkeeper tracks income and expenses, processes payments and compiles reports. The Bookkeeper reports to the Administrator and works closely with the Minister (Lead Administrative Officer) and the Finance Committee.

HOURS, COMPENSATION, BENEFITS:
- This position averages 15 hours/week for 12 months per year
- Compensation is in line with UUA Fair Compensation guidelines
- No benefits are offered with this position
Responsibilities
Weekly
- Count, enter, and deposit donations and pledge payments received via weekend services, mail, online, etc.
- Track members’ contributions to annual and capital campaigns against their pledge commitment.
- Track directed contributions and other church income.
- Maintain all transactions in Church Windows (or equivalent software).
- Process invoices, bills, and reimbursement requests; prepare checks for signing.
- Process automatic bank and credit card pledge payments
- Maintain contracts, agreements, Insurance policies
- Assists in internal record keeping and auditing
Monthly
- Process payroll entries for church staff
- Reconcile bank statements for all accounts
- Prepare, in consultation with the Treasurer and Minister, financial reports for the monthly Finance Committee and Board of Trustees meetings
- Prepare financial reports for other committees and staff as needed
Quarterly
- Prepare quarterly reports on contributions for members with Administrator
- Prepare quarterly sales tax reports for State of Michigan
- Record and report quarterly investment activity
Annually
- Produce annual income and expense reports covering all operations and departments of the church.
- Produce appropriate end-of-the-year tax forms.
- Produce year-end contribution reports by January 31.
- Assist the Finance Committee, the Minister, the Treasurer and other church staff in developing an annual budget, as needed.
- Assist the Stewardship Team by preparing giving reports as needed
- Assist with the annual holiday bazaar, which includes sales tax calculation and management. (There will be a higher workload mid-November through early December.)
- Assist in supporting other fund-raising activities as needed
Qualifications
- Minimum two years of accounting or bookkeeping experience (non-profit preferred)
- An Associate degree in accounting from an accredited educational institution desired
- Capacity to keep financial information about church members in strict confidence
- Demonstrated ability to use Church Windows accounting software, as well as Excel and Word
- Knowledge of regulatory requirements for processing payroll accounting transactions and payroll returns desired
- Ability to speak, write, and generally communicate well in English
- Dependable, commitment to accuracy, good interpersonal skills, and ability to work well with teams
- This position requires solitary work in the church building
- Hiring dependent upon successful completion of a background check
