Position Description

Position Title: Membership Director Effective Date: 07/2023

Reports To: President & CEO

Supervises Directly: Weekend/Volunteer Staff

Compensation: Hourly rate at $23-28/hr based on a 40 hour work week

Location: Camden and/or Rockland Maine (100% in-person)

Function: Responsible for member attraction and retention through superior service, program development, social media and successful implementation of all Chamber events/workshops and networking gatherings. This position will also assist the President & CEO with a variety of marketing initiatives while independently managing specific aspects of marketing events and member related projects.

Duties & Responsibilities:

  • Achieves net membership goals in accordance with the annual budget approved by the Chamber Board of Directors
  • Refines and promotes member benefits, program, and services to match the evolving needs of members
  • Develops new materials, membership packages , etc. for existing and prospective members
  • Demonstrates proactive outreach to members in person and via phone, email-tracking totals and results monthly
  • Makes recruitment calls and contacts to potential members and track results monthly
  • Works closely with Visitor Center Volunteer Services Staff to ensure adequate supply of member materials in visitors center(s) and administrative office
  • Provides Visitor Center Volunteer Services with up to date information for volunteers to ensure knowledge of chamber members is kept up to date
  • Reviews new member applications for approval/decline
  • Serves as lead staff for the Membership Committee and works with the committee on recruitment and retention ideas
  • Coordinates networking events with hosts and members
  • Manages the system administration of the Chamber’s member database
  • Provides technical training and support to members related to the member portal
  • Represents the Chamber at outside working groups, such as business and economic development groups
  • Attends outside meetings on behalf of the Chamber as needed
  • Updates website information as needed
  • Manages Chamber events including sponsorships, coordination, promotional materials, press releases, site planning, volunteer and staff needs and on site management. Events may include but are not limited to the following examples: gala, expo, auction, fundraiser, workshop, etc.
  • Leads initiatives that provide educational opportunities, networking, marketing exposure for all members
  • Writes and publishes fresh content for two Chamber websites and social media platforms on a weekly basis in addition to producing and publishing a weekly e-newsletter
  • Oversees production of the Chamber’s annual 100-page regional guide and local maps

Education, Training and Experience:

  • Experience in marketing or business administration is preferred
  • Experience in a Sales & Marketing position is preferred
  • Experience working for a Non-profit is preferred
  • Strong technical skills
  • Strong customer service skills
  • Maintain a high level of confidentiality regarding company and member information

Skills and Abilities:

The position will require the ability to:

  • Multi-task in a fast paced environment with minimal oversight
  • Ability to occasionally work nights and weekends as required
  • Extract, analyze and report on data metrics from a variety of sources
  • Interpret and report analytical findings as requested
  • Demonstrate excellent verbal and written communication skills
  • Be proficient in the following software: Microsoft Office Suite (Excel, Word, Access, PowerPoint, Publisher), Adobe Acrobat, WordPress, Bitly, Graphic Design and other related products.

Apply principles of logical or scientific thinking to define problems, collect data, establish facts, and draw valid conclusions. Interpret an extensive variety of technical instructions in mathematical or diagrammatic form. Deal with several abstract and concrete variables.

Mathematical:

Compute dues, discounts, refunds, percentages, etc.

Language:

READING: Read local newspapers, periodicals, journals and manuals.

WRITING: Write business letters, summaries, press releases, advertisements and reports, using prescribed format and conforming to all rules of punctuation, grammar, diction, and style.

SPEAKING: Speak extemporaneously on a variety of subjects.

DATA: Synthesizing: integrating analysis of data to discover facts and/or develop knowledge, concepts or interpretations.

PEOPLE: Negotiating: exchanging ideas, information, and opinions with others to formulate policies and programs and/or arrive jointly at decisions, conclusions, or solutions.

PHYSICAL DEMANDS:

Must have the ability to read/see documents and PC screens, to communicate in person and via the telephone, and to use a PC extensively; the ability to communicate by telephone while simultaneously using the PC or manually writing; the ability to speak, see, hear and write are necessary for the work and communication that are integral to the position. Requires the use of eyes, hands, and fingers at the same time to operate a calculator, and/or personal computer. Requires the ability to travel to and within locations required by customer calling, business exhibits, conventions, etc.; ability to lift 50# (re: setting up displays and toting supplies to it, delivering the resource guide, etc.).

ENVIRONMENTAL CONDITIONS:

Generally, work inside but exposure to weather conditions when traveling to locations or events as job may require.

The Penobscot Bay Regional Chamber of Commerce (the Chamber) is seeking qualified candidates for the position of Marketing & Membership Director. The Chamber is the voice of business and tourism in the Midcoast region, encompassing over 25 communities within and surrounding Knox County, Maine. It represents the coming together of businesses, nonprofits, governments, and citizens in support of a vibrant and growing region with unparalleled quality of life and place. The organization is incorporated in the State of Maine and is recognized by the IRS as a nonprofit organization under section 501(c)6 of the Internal Revenue Code. The Chamber is the third largest Chamber organization in the state, with over 725 business, nonprofit, and individual members.

The Chamber is governed by a volunteer Board of Directors that maintains fiduciary oversight of the organization and oversees the President & CEO. It has an annual budget of approximately $500,000, with 1.5 full time equivalent staff. The Chamber engages a number of volunteers and paid part-time seasonal employees during the summer months to assist during the tourist season.

The Chamber’s President & CEO seeks a Marketing & Membership Director who is a self-starter whose primary responsibility is to lead the organization’s programs and strategies to attract and retain members in the Penobscot Bay region. The successful candidate will be a front-facing individual to our members and visitors. This individual will possess significant marketing and customer service skills, interpersonal savvy, superior written and oral communications skills, and be able to manage volunteers. Their skills and experiences are supported by a commitment to honesty, integrity, and the highest standards of business ethics. They should also have experience working for a non-profit organization.
