What are the responsibilities and job description for the Administrative Coordinator position at Pennsylvania Ballet Academy?
- Schedule is Mon. through Thu., and Sat., 12PM to 8PM; off Fridays and Sundays
- Some Friday and Sunday work may be required as part of performance preparation
- Manage scheduling and registration for all dance classes based on student skill levels for classical ballet, jazz, tap, etc.
- Verify studio and teacher availability for scheduling purposes
- Create calendars and file/update registration forms necessary for class enrollment
- Register students for all classes
- Update and distribute schedules, keeping instructors and staff current on scheduling and class changes, as needed
- Plan and assist in the implementation of Academy regular and ad hoc/special events, including performances and student appearances, parades, community days
- Assist in annual implementation, ongoing management, and annual performance of the Academy’s inclusive dance education program for students with special needs.
- Represent Academy through staff displays at various functions, community events, etc.
- Schedule and conduct Academy visits/walk-throughs/tours with prospective students and their families
- Track outstanding tuition balances and receive/process tuition payments\
- Monitor/manage costs and expenditures associated with studio operation
- Maintain billing and expense records in accordance with established accounting principles
- Act as a liaison among the owner, directors, instructors, parents, and students, relative to Academy concerns
- Address questions and concerns of parents and students, managing personal concerns with strict confidentiality and professionalism
- Provide courteous, professional customer service in-person, on phone calls, and via emails in responding to general and specific inquiries and service issues
- Ensure the satisfaction of all Academy patrons, while following up on any feedback provided
- Suggest updates/changes to the Academy website or social media platforms to ensure the Academy stays connected with the community
- Assist students with pre-performance preparation (e.g., backstage management)
- Maintain costumes, dance accessories and equipment
- Maintain inventory of Academy store
- Take/process payments for merchandise
- Enlist assistance of facilities manager in keeping Academy studios, facilities, equipment, and grounds clean and in good working order
Job Type: Full-time
Pay: $23.05 - $27.76 per hour
