Job Summary
The Office Manager is responsible for coordinating administrative operations, supervising office staff, supporting clinical personnel, and ensuring the efficient operation of the home health agency. This position serves as a liaison between patients, caregivers, physicians, referral sources, and agency leadership while maintaining compliance with Medicare, Medicaid, HIPAA, and state regulations.
Key Responsibilities
- Oversee daily office operations and administrative workflows.
- Supervise and support receptionists, schedulers, and administrative staff.
- Coordinate scheduling of nurses, therapists, aides, and other field staff.
- Manage patient admissions, referrals, and medical records.
- Ensure timely and accurate documentation in the electronic health record (EHR) system.
- Monitor compliance with agency policies, HIPAA, Medicare, Medicaid, and state regulations.
- Assist with payroll, employee timekeeping, and human resources documentation.
- Coordinate employee onboarding, credentialing, and license tracking.
- Communicate with physicians, hospitals, insurance companies, and referral sources.
- Assist with billing, authorizations, and insurance verification.
- Maintain office supplies, equipment, and vendor relationships.
- Prepare operational reports and support quality assurance and accreditation activities.
- Address patient and employee concerns professionally and promptly.
- Support the Administrator and Director of Nursing with administrative projects and agency initiatives.
Qualifications
- High school diploma or equivalent required; associate's or bachelor's degree in Business Administration, Healthcare Administration, or a related field preferred.
- Two to five years of office management or healthcare administrative experience.
- Home health or healthcare experience strongly preferred.
- Knowledge of Medicare, Medicaid, HIPAA, and home health regulations.
- Experience with EHR software and Microsoft Office Suite.
- Strong organizational, communication, and leadership skills.
