Position Summary
Penfield Plumbing & Heating is a 3rd generation family-owned plumbing business, specializing in residential and commercial new construction plumbing. The company also offers remodeling and general service plumbing repairs. The company is seeking a detail-oriented and hands-on Controller to lead the accounting and financial operations. This role will primarily be responsible for managing day-to-day accounting functions, ensuring accurate financial reporting, and providing strategic financial insight to support business growth and operational efficiency.
The ideal candidate would have experience in plumbing, HVAC, or service-based industries and be comfortable working in a fast-paced setting.
Key Responsibilities
Financial Management & Reporting
- Oversee all accounting operations, including general ledger, accounts payable, accounts receivable, payroll, and month-end close
- Maintain accurate and timely job costing and WIP schedules for construction projects
- Ensure accuracy of service vs. construction revenue and margin reporting
- Prepare and analyze monthly, quarterly, and annual financial statements
- Provide actionable insights to ownership on financial performance and key metrics
- Partner with operations to monitor job profitability, labor utilization, and project costing
- Implement and improve processes around billing, collections, and vendor management
- Track and analyze KPIs specific to the plumbing and heating industry (e.g., gross margin per job, service vs. install revenue)
- Ensure compliance with GAAP and applicable federal, state, and local regulations
- Manage external relationships with CPA firms, banks, and insurance providers
- Ensure compliance with sales tax reporting requirements
- Ensure timely reporting to commercial customers, as required
- Oversee annual tax filings and support any audits or reviews
- Establish and maintain internal controls to safeguard company assets
Human Resources & Employee Administration
- Manage core HR administrative functions including:
- Onboard and offboard employees
- Maintain accurate employee records and ensure compliance
- Payroll and benefits administration
- Assist ownership in developing and maintaining company policies
Job Costing & Operational Support
- Partner with project managers and service managers to:
- Track job budgets vs. actuals
- Analyze labor, material, and subcontractor costs
- Maintain and improve cost tracking systems for both construction and service lines.
Billing & Cash Flow
- Oversee:
- Progress billing (AIA or similar)
- Time and material billing for service work
- Manage collections and customer accounts
- Prepare and monitor cash flow forecasts
- Ensure timely vendor payments while optimizing cash position.
Fleet & Vehicle Administration
- Oversee all company vehicle administration for service and construction fleets
- Maintain and track vehicle registrations, renewals, inspections and titles
- Manage commercial auto insurance including policy renewals and coverage analysis, claims coordination and documentation, and driver eligibility and records.
Qualifications
· Bachelor’s degree in Accounting or Finance (CPA preferred)
· 5 years of accounting experience
· 2 years of experience supervising administrative and accounting personnel
· Experience in plumbing, HVAC, or skilled trades industry strongly preferred
· Proficient in Industry Specific Software and Excel
· Excellent analytical, organizational, and communication skills
Pay and Benefits
· $95,000-$115,000
