SUMMARY: 

The position of Office Technician is for the purpose(s) of providing clerical support to assigned personnel and the building staff to which the Technician is assigned; communicating information to staff, the public and other districts; and providing complete and accurate documentation and audit trail; and providing information and/or direction as may be requested.    

 

REQUIRED QUALIFICATIONS:

  • High School Diploma or GED
  • Job-related experience with increasing levels of responsibility
  • Targeted job-related education that meets organization’s prerequisite
  • Ability to assist team members
  • Ability to take direction
  • Ability to work with confidential materials

 

PREFERRED QUALIFICATIONS: 

  • Job-related experience
  • Bilingual Preferred

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Answers telecommunication system for the purpose of screening calls, transferring calls, responding to inquiries and/or taking messages.
  • Evaluates situations (e.g. involving other staff, students, parents, the public, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
  • Maintains schedules (e.g. meetings, room schedules, etc.) for the purpose of coordinating available space.
  • Processes documents and materials (e.g. schedules, agendas, mail, etc.) for the purpose of disseminating information to appropriate parties.
  • Orients personnel as may be required to department practices and/or procedures for the purpose of coordinating interdepartmental activities.
  • Presents information on administrative procedures, services, regulations, etc., for the purpose of training and orienting other personnel.
  • Researches various information (e.g. current practices, policies, education codes, etc.) for the purpose of providing information and/or recommendations and/or addressing a variety of administrative requirements.
  • Translates memos, testing materials, forms, etc., for the purpose of providing materials to non-English speaking parents and/or students (bilingual Technician only).
  • Supports assigned administrative personnel for the purpose of providing assistance with their administrative functions.
  • Responds to inquiries of staff, the public, parents and/or students for the purpose of providing information and/or direction as may be required.
  • Assists in the registration of students and provide information  of new and transferring students to district staff and outside district communication via phone, e-mail, in person as needed.
  • Maintains inventory of administrative office supplies for the purpose of ensuring availability of materials when needed.
  • Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.
  • Perform such other duties and assumes such other responsibilities as may be assigned by the Superintendent/Designee.

 

SKILLS, KNOWLEDGE AND ABILITIES:  

Skills are required to perform single, non-technical tasks with a potential need to upgrade skills in order to meet changing job conditions.   Specific skills required to satisfactorily perform the functions of the job include: operating standard office equipment.

 

Knowledge is required to perform basic math; read and follow instructions; and understand oral and written instructions.  Specific knowledge required to satisfactorily perform the functions of the job includes:  various position-specific information learned on-the-job.

 

Ability is required to schedule activities; collate data; and use basic, job-related equipment.  Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing specific, defined processes; and operate equipment using defined methods.  Ability is also required to work with a wide diversity of individuals; work with specific, job-related data; and utilize specific, job-related equipment.  In working with others, problem solving is required to identify issues and create action plans.  Problem solving with data requires following prescribed guidelines; and problem solving with equipment is limited.  Specific abilities required to satisfactorily perform the functions of the job include: being attentive to detail; communicating with diverse groups; and working under time constraints.

 

RESPONSIBILITY:

Responsibilities include: working under limited supervision following standardized practices and/or methods; providing information and/or advising others; and operating within a defined budget.  Utilization of some resources from other work units may be required to perform the job’s functions.  There is a continual opportunity to impact the Organization’s services.

PHYSICAL DEMANDS:

While performing the duties of this job, the employee is required to talk and hear.    The employee frequently is required to stand, walk, sit, use hands to finger, handle, or feel objects, tools, or controls; and reach with hands and arms.  The employee is occasionally required to climb or balance and stoop, kneel, crouch or crawl.  The employee must occasionally lift and/or move up to 25 pounds.   Specific vision  abilities  required  by this  job   include  close  vision,  distance  vision,  color  vision,  peripheral vision, depth perception and the ability to adjust focus.

 

WORK ENVIRONMENT: 

The usual and customary methods of performing the job’s functions require the following physical demands: some lifting, carrying, pushing and/or pulling; and some fine-finger dexterity.  Generally the job requires 90% sitting, 5% walking and 5% standing.  The job is performed in a generally clean and healthy environment.
