What are the responsibilities and job description for the Records Coordinator, Admin - Part Time (9:30a-2:30p, M-F) position at PEI-Genesis?
Our South Bend, Indiana location is searching for an organized and self motivated candidate who can process or scan required data into the document retention software system each day. Additionally, the Records Coordinator serves as a back up for some Administrative Assistant duties (data entry, front desk reception, etc.)
Schedule: Monday- Friday, 9:30 am - 2:30 pm
Position Type: Part Time, 5 hours/day (25 hours/week)
ESSENTIAL TASKS AND RESPONSIBILITIES
- Collect and separate required documents for scanning.
- Pick Tickets
- Manual work orders/Bulk packs
- Cancelled orders
- Packing Slips
- Supplier return debit memos
- Add-ons
- Scan all Pick Tickets into the Document Retention system, manually enter all other documents by purchase order or Work order number and move into designated folders daily.
- Answer the phones and greet visitors as needed.
- Handle incoming and outgoing mail when required.
- Assist Management Team as needed.
- Back up Administrative Assistant as needed.
EDUCATION & EXPERIENCE (Needed/desired for this Position)
High School Diploma or GED Preferred or any combination of education, training and experience that demonstrates the ability to perform the duties of the position.
TECHNICAL and/or MANAGERIAL JOB COMPETENCIES – (Specific Job Proficiencies and Skills)
- Working knowledge of MS Office Suite including Excel & PowerPoint
- Working knowledge of office equipment
- Verbal, written, analytical, and problem-solving skills
- Organizational skills for record keeping, filing and transmittals
- Minimum typing speed of 60 wpm

PHYSICAL DEMANDS
- Manual lifting up to 35 lbs. on a regular basis and up to 70 lbs. on occasion (with assistance).
- Repetitive detailed work with hands for 5 hours of the day.
- Ability to sit or stand for up to 5 hours.
- Be able to reach overhead with or without the aid of a ladder or step stool.
- Ability to Grip/Grasp at least 5 hours of the day.
