Reception and Admin Support
(Part Time)
M-T 2pm-7pm, Sat. 8am-11am

The Reception and Administrative Support (RAS) is a member of the Operations Team and reports to the Operations and Finance Director. This role is responsible for the day-to-day front desk and reception operations, including maintaining a welcoming, professional, and secure environment for patients and staff. Core duties include answering phones, checking in patients, assisting with laboratory testing as needed, maintaining office and clinical supplies, and completing data entry tasks. The RAS works closely with the Operations and Finance Director and the Operations Team to ensure smooth clinic operations and to provide essential administrative and client support.
Job Duties
- Cover and manage the reception area, including answering phone calls, attending to visitors, provide client and operational support in a trauma informed, client centric approach.
· Check in patients and communicate with Clinicians
· Receive mail and packages and restock supplies
· Provide support to clinicians for lab work
· Maintain safe and clean front office
· Manage client accounts ensuring outstanding patients balances are collected in a timely manner and contact appropriate parties to collect payment.
· Review and update client accounts for accuracy and completeness. Obtain missing information and ensure insurance information and payer sources are up to date.
· Communicate with health care providers, patients, insurance claim representatives, and other parties of coverage lapses or changes in a timely manner
· Respond to client and staff inquiries and requests respectfully, and in a timely manner.
· Prepare reports and forms as directed and in accordance with established policies.
· Assist Operations and Finance Director with contracting and credentialing, when needed.
· Other duties and special assignments, as requested.
Qualifications
- Associate’s degree or equivalent education and/or experience
- 1-3 years’ experience in a medical office or behavioral health setting.
- Experience with electronic medical record software.
- Knowledge of credentialing and licensing.
- Knowledge of Insurance/Medicare/Billing codes a plus.
- Knowledge of Microsoft Suite, Excel, Word, Teams etc.

Classification, Compensation, Work Schedule, and Benefits:
- This is a regular, part-time, hourly, position.
- Compensation is $21.60 per hour.
- Work is on-site, and hours will be Monday through Thursday 2pm to 7pm and Saturday 8am-11am .
- Benefits include PTO (holidays; accrued vacation and sick time; and personal time); professional development training; 403 (b), and employee discounts through ADP. Benefits are accrued based on hours worked.
