Position Summary:
We are seeking a professional, friendly, and detail-oriented Front Desk Patient Service Representative to join our healthcare team. This role is often the first point of contact for patients and visitors and plays a critical role in ensuring a positive experience. Responsibilities include patient check-in, verifying insurance, collecting payments, scheduling appointments, and supporting office operations.
Key Responsibilities:
- Greet patients and visitors in a warm, courteous manner to ensure a welcoming environment.
- Manage the patient check-in process and assist with all required forms and documentation.
- Schedule and confirm patient appointments, procedures, and follow-ups.
- Verify insurance eligibility and benefits prior to appointments.
- Collect co-pays, deductibles, outstanding balances, and pre-payments at the time of service; accurately record all payments.
- Reconcile and close daily cash batches, prepare deposits.
- Answer and triage incoming calls promptly and professionally; return voicemails within two business hours.
- Document all communications and tasks in the electronic medical record system.
- Manage incoming faxes, medical records, and other documentation.
- Assist with pre-certification, insurance authorizations, and follow-up as needed.
- Provide backup support to other administrative team members and cover additional office locations as required.
Required Skills & Abilities:
- Excellent interpersonal skills and the ability to work well with patients, staff, and physicians.
- High attention to detail and accuracy in data entry and financial transactions.
- Exceptional organizational and multitasking skills in a fast-paced environment.
- Clear and professional verbal and written communication skills.
- Proficient in telephone etiquette and customer service.
- Familiarity with medical insurance plans and benefit structures.
- Comfortable using Microsoft Office applications (Word, Excel) and practice management software.
- Ability to type 45–60 WPM.
- Self-motivated, reliable, and adaptable to changing responsibilities.
Education & Experience:
- High school diploma or equivalent required.
- Minimum of 2 years’ experience in a healthcare or medical office setting strongly preferred.
Physical Requirements & Work Environment:
- Prolonged periods of sitting with some bending, stooping, and lifting (up to 35 lbs).
- Requires manual dexterity and hand-eye coordination for office equipment use.
- Primarily an office environment with regular interaction with patients and staff.
- Occasional travel between office locations may be required.
