Job Summary

We are seeking a dynamic and detail-oriented New Patient Coordinator to join our healthcare team. In this vital role, you will serve as the first point of contact for new patients, ensuring a smooth and welcoming onboarding experience. Experience in medical administrative support, insurance verification, and account set up is appreciated but we will train the right person. The ideal candidate is energetic, highly organized, and possesses strong communication skills to coordinate appointments, review documentation, and maintain compliance with healthcare regulations such as HIPAA.

Duties

  • Greet new patients warmly and guide them through the registration process with professionalism and enthusiasm
  • Collect insurance coverage information, including Medicare and health insurance plans, ensuring accurate eligibility and benefits
  • Schedule appointments
  • Review medical records and documentation for completeness, accuracy, and compliance with clinical confidentiality policies
  • Assist patients with intake procedures, including new patient forms.
  • Conduct insurance verification and explain coverage details to patients clearly
  • Maintain meticulous documentation review processes, ensuring all patient information adheres to HIPAA standards and medical terminology accuracy
  • Manage multi-line phone systems with professional phone etiquette to answer inquiries promptly and direct calls appropriately
  • Support front desk operations by filing records, managing appointment scheduling, and performing clerical tasks such as typing reports and data entry using Microsoft Office tools

Skills

  • Excellent customer service skills with the ability to communicate effectively in bilingual settings; proficiency in both English and additional languages a bonus
  • Demonstrated clinic or medical office experience with a focus on patient intake, appointment scheduling, and administrative support
  • Proficient computer skills including typing (10 key typing), Microsoft Office Suite (Word, Excel), and electronic health records management software
  • Ability to review medical documentation accurately while maintaining strict adherence to HIPAA regulations and clinical confidentiality policies
  • Strong organizational skills with attention to detail in filing medical records and managing office workflows
  • Effective phone communication skills with professional phone etiquette for handling patient inquiries and appointment coordination
  • Prior experience working in a hospital or dental clinic environment is highly desirable; familiarity with dental terminology is advantageous
