Our Scheduling Coordinators play an important role in creating a positive experience for our patients and families from the first phone call. The ideal candidate communicates confidently and compassionately, remains organized in a fast-paced environment, and understands how the details behind the scenes contribute to exceptional patient care.
Previous experience in a medical or dental office is preferred, but we also value strong customer service experience, a willingness to learn, and someone who genuinely enjoys being part of a team.
Responsibilities
- Coordinate and manage patient appointments while making effective use of the available schedule.
- Welcome and assist patients and families with professionalism, patience, and empathy.
- Verify insurance information and help patients understand general questions regarding their coverage.
- Review charges with patients and collect payments.
- Maintain accurate patient records and protect confidential information in accordance with HIPAA requirements.
- Respond promptly and thoughtfully to patient questions and concerns.
- Keep scheduling systems current by accurately documenting appointments, changes, and cancellations.
- Communicate effectively with providers and team members to support efficient, coordinated patient care.
- Assist other members of the scheduling and reception team with administrative responsibilities as needed.
- Occasionally travel to our Mankato office.
Qualifications
- Strong customer service skills with the ability to communicate professionally and compassionately with children, families, and coworkers.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities while remaining calm, accurate, and helpful.
- Previous office experience is encouraged; experience in a medical or dental setting is preferred.
- Familiarity with insurance processes and scheduling software is helpful, but not required.
- Ability to speak, understand, and write fluent English.
- Ability to meet deadlines, take initiative, and work efficiently with limited supervision.
- A dependable, team-focused attitude and willingness to learn.
