- Greet clients warmly upon arrival, creating a positive first impression and ensuring a welcoming atmosphere for both pets and owners.
- Manage appointment scheduling efficiently, coordinating with veterinary staff to optimize daily flow.
- Handle all aspects of medical billing and collections, including processing payments and patient invoices with accuracy and professionalism.
- Answer phone calls promptly, providing clear information about services and appointments.
- Maintain accurate and detailed patient records using veterinary management software, including medical history, treatment plans, and laboratory results.
- Facilitate laboratory procedures by preparing samples, recording results, and handling logistics of shipped laboratory samples.
- Maintain a clean and professional work environment.
- Receive and log inventory items.
- Communicate effectively with clients regarding pet care instructions, follow-up appointments, and post-treatment care.
- Support the team during critical care situations by understanding veterinary terminology and assisting with animal restraint or handling as required.
- Previous experience in a veterinary reception or customer service role is preferred but not required; familiarity with veterinary terminology is a plus.
- Previous experience with horses and/or livestock is preferred but not required.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- Excellent communication skills—friendly, clear, and professional when interacting with clients and team members alike.
- Knowledge of animal care practices including animal husbandry, handling, and common terminology.
- Ability to perform medical collections accurately while maintaining confidentiality and compliance with privacy standards.
- Experience with laboratory procedures or veterinary critical care is desirable but not mandatory.
- Basic computer proficiency with veterinary management software or similar systems.
