What are the responsibilities and job description for the Document Control Specialist position at Pearson Sales Company, Inc.?
The Document Control Specialist reviews documentation, assists in the management of Quality and SQF programs, documents and processes.
Reports to: Quality Assurance Manager
Core Responsibilities:
- Obtain, organize and record documentation for all materials (e.g. product specifications, organic certification, GMO statements, kosher certification, halal certification, etc.) in physical and digital format.
- Maintain confidentiality around sensitive information and terms of agreements
- Update and maintain the Document file & Specification file keeping all documents current.
- Update and maintain the annual supplier approval process annually.
- Update and maintain approved supplier checklist annually.
- Update and maintain HAZCOM SDS-(safety data sheet binders) for all products in physical and digital records.
- Maintain the foreign supplier verification program as well as maintain the foreign supplier document package binders.
- Notify customers of any change in product specifications.
- Provide customer documents, letters and statements in response to standard inquiries.
- Respond to general QA inquiries, monitor QA email for customer documentation requests, organize, reply and log all requests in the document tracker.
- Maintain all online documentation portals e.g. TraceGains, Repositrak, and Digital Kosher.
- Maintain all FSMA related documents- Preventive controls statements, notification statements, FSVP compliance statements, etc.
- Assist in the preparation and approval of raw material and finished good specifications annually.
- Assist as needed in the preparation of SQF audits.
- Assist in maintenance of QA files and records.
- Assist in other projects as assigned.
- Any other reasonable tasks required by the quality department.
- Review, file product COAs.
- Review supplier documents including HACCP related documentation.
- Review analytical test results.
- Complete Supplier Questionnaires sent to us by our customers.
- Draft necessary documents and statements for customers.
- Cover the front desk and phones while the receptionist is at break/lunch.
- Any other reasonable tasks required by the quality department.
Additional Duties:
- Ability to work independently or as a member of a team.
- Ensure that the company is adhering to Safe Quality Food at all times.
- Strict adherence to HACCP, GMP’s, SOP’s and Quality Standards.
- Collaborate with other Quality team members, Warehouse team members to ensure on time delivery and that quality objectives are met.
- Other duties as assigned by the QA Manager.
Qualifications:
- Minimum one-year experience in Quality Assurance.
- Computer skills using Microsoft Office, Trace Gains, Repositrak.
- Ability to communicate effectively.
- Ability to manage time wisely and able to work with little to no supervision.
- Ability to understand and share Quality Assurance, SQF and regulatory standards.
- Self-motivated desire for continuous improvement processes within scope of responsibilities.
- Ability to develop effective and appropriate formal communications, including plans and schedules.
Demonstrates interpersonal skills necessary to build strong relationships with internal and external stakeholders
