SECTION 1 - POSITION SUMMARY

The TMS Coordinator is responsible for coordinating and facilitating the organization's Transcranial Magnetic Stimulation (TMS) service line. As a licensed nursing professional, the position oversees the daily operational execution of TMS services while providing direct treatment delivery and addressing routine medical concerns within the scope of licensure. Responsibilities include coordinating treatment scheduling, facilitating TMS treatments, maintaining clinical documentation, supporting program quality, and collaborating with Admissions, Utilization Review, Providers, Nursing, and Behavioral Health Technicians to ensure a safe, consistent, and efficient treatment experience. The TMS Coordinator serves as the primary operational owner of the TMS service line, balancing direct patient care with operational coordination to support the continued growth, quality, and success of the program.

SECTION 2 - CORE AREAS OF RESPONSIBILITY

Program Operations

  • Coordinate the daily operation of the TMS service line.
  • Maintain treatment schedules and operational workflow.
  • Monitor treatment capacity and daily program activity.
  • Coordinate operational communication supporting TMS services.

Treatment Coordination

  • Coordinate guest progression from treatment approval through completion.
  • Schedule initial mappings, treatment sessions, and redeterminations.
  • Collaborate with Admissions, Utilization Review, Providers, and Nursing to support treatment continuity.
  • Maintain accurate treatment scheduling and coordination.

Service Delivery

  • Facilitate Transcranial Magnetic Stimulation (TMS) treatment sessions as needed.
  • Complete required treatment documentation.
  • Maintain a professional, safe, and guest-centered treatment environment.

Workforce Coordination

  • Coordinate daily TMS facilitator coverage.
  • Collaborate with the BHT Supervisor regarding cross-trained Behavioral Health Technician support.
  • Communicate operational staffing needs affecting treatment delivery.
  • Support uninterrupted treatment operations.

Program Quality

  • Monitor documentation compliance.
  • Maintain equipment readiness supporting daily operations.
  • Identify opportunities for operational improvement.
  • Support the implementation of approved workflow and process improvements.

  • Maintain compliance with all organizational policies, procedures, and applicable federal, state, and local regulations.
  • Protect the confidentiality of guest, employee, and organizational information in accordance with HIPAA, 42 C.F.R. Part 2, and other applicable privacy regulations.
  • Maintain required certifications, licenses, and mandatory training applicable to the position.
  • Utilize organizational technology and information systems in accordance with established standards and security requirements.
  • Communicate professionally and collaborate effectively with guests, families, coworkers, providers, and interdisciplinary teams.
  • Maintain accurate, timely, and complete documentation as required by organizational standards.
  • Promote a safe, clean, and therapeutic environment while immediately reporting safety concerns, hazards, incidents, or compliance issues.
  • Demonstrate flexibility and adaptability in response to operational needs while contributing to a positive and solution-focused work environment.
  • Participate in organizational initiatives that support continuous improvement, guest care, and operational excellence.

SECTION 5 - QUALIFICATION REQUIREMENTS

Education

  • Graduate of an accredited Practical Nursing (LPN) or Registered Nursing (RN) program.
  • Equivalent advanced education in a healthcare-related field may be considered only if permitted by organizational policy and applicable regulations.

Experience

  • Minimum of two years of experience in behavioral healthcare, mental health, substance use treatment, or a related healthcare setting.
  • Experience coordinating clinical operations, scheduling, or healthcare workflows preferred.
  • Experience with Transcranial Magnetic Stimulation (TMS) or other outpatient psychiatric treatment services preferred.

Certifications & Licensure

  • Current, unrestricted Colorado Licensed Practical Nurse (LPN) or Registered Nurse (RN) license required.
  • Current CPR certification required.
  • TMS certification or successful completion of organizational TMS training is required within the established onboarding period.
  • Valid driver's license with an acceptable driving record, as required for organizational operations.

Technical Proficiency

  • Proficiency in using electronic medical record (EMR) systems.
  • Proficiency with Google Workspace or equivalent business productivity software.
  • Ability to learn and effectively utilize organizational technology platforms supporting TMS operations.

  • Demonstrates the ability to safely operate company vehicles, including 12- to 15-passenger vans, in accordance with organizational standards.
  • Maintains flexibility to work varied schedules, including evenings, weekends, holidays, and on-call assignments, as operational needs require.

SECTION 7 - WORKING ENVIRONMENT / PHYSICAL REQUIREMENTS

  • Frequent walking, standing, bending, and movement throughout the scheduled shift, including travel within and between multiple treatment facilities.
  • Ability to respond quickly to emergencies, behavioral incidents, and other situations requiring immediate intervention.
  • Ability to run or jog during emergencies.
  • Ability to perform CPR, including chest compressions, when required.
  • Ability to lift, move, or assist guests during routine care activities or emergencies, including lifting up to 50 pounds when necessary.
  • Ability to safely operate company vehicles, including 12- to 15-passenger vans.
  • Frequent use of computers, electronic medical records, and other organizational technology systems.
  • The work environment is typically quiet to moderate but may become loud or unpredictable during behavioral emergencies.

Pay: $60,000.00 - $75,000.00 per year
