ABA Coordinator (Lead RBT)
Job Description
Essential Functions
The ABA Coordinator shall be responsible for:
- Attending and occasionally leading team meetings
- Thoroughly and effectively documenting all sessions, including converting appointments in a timely manner
- Overseeing the creation of the weekly schedule for RBTs and clients by the Scheduling Lead
- Recruiting, interviewing, and hiring BTs and RBTs to maintain adequate staffing levels
- Executing an onboarding plan and coordinating training/shadowing for new BTs and RBTs
- Assisting in the creation of staff training materials
- Managing a staff of BTs and RBTs, from coaching to performance improvement plans
- Tracking RBT requirements for credentialing and maintaining credentialed status of staff with the BACB
- Monitoring staff pay rates for RBTs, submitting documentation for staff promotions
- Ensuring that Slack channels are accessible to appropriate team members
- Oversight of the following
- Auditing of RBT SOAP notes for accuracy and completeness
- Fidelity checks for RBTs
- Verifying payroll done by the scheduling lead
- Attendance tracking of the clients and BTs/RBTs by the Scheduling lead
- Ensuring that RBTs are following client treatment plans
- Assisting Clinical Director and BCBAs to maintain program continuity
- Providing direct therapy coverage, as needed (see RBT Job Description)
- Assisting with the client intake process
- Maintaining all clinical records in accordance with HIPAA
- Communicating with parents regarding scheduling, events, staff training, etc.
- Maintaining professionalism with parents and/or caregivers
- Communicating effectively with everyone on the client’s treatment team
- Tracking and working with Clinical Director on staff recognition gifts (i.e., birthdays, employment anniversaries)
- Planning clinic activities, theme weeks, summer activities, etc.
- Assist in upkeep of clinic cleanliness day-to-day
- Other duties as assigned
Required Education and Experience
- High school graduate over the age of 18 who is passionate about helping children and their families
- 1 year of experience working as an RBT, and Bachelor's degree in psychology, social work, education, child development, or a related field, OR a combination of experience and education is preferred
- RBT certification in good standing
- Excellent communication skills with other providers and families
- Must have great problem-solving skills
- Must be highly organized and have a great eye for details
- Proficient in using technology
- Ability to communicate effectively to large and small groups
- A valid driver’s license
- Central Reach experience

- A reliable vehicle and up-to-date vehicle insurance
- A Motor Vehicle Report (MVR) without recent or significant driving infractions. An MVR is required within the first 30 days of employment.

Reporting
The ABA Coordinator reports to the Clinic Director at their assigned location.
Supervisory Responsibility
This position is responsible for supervising the RBTs at their assigned location.
Work Environment
IN HOME/CLINIC
This position works in the community, driving and visiting service recipients in a variety of settings. This position may also work in a clinical and office setting. This position may cause exposure to infectious diseases, blood and bodily fluids.
Physical Demands
The physical demands described here are representative of those that must be met by the ABA Coordinator to successfully perform the essential functions of this job.
While performing the duties of this job, the ABA Coordinator is regularly required to speak and hear sufficiently to communicate effectively by phone or in person at normal volumes. The ABA Coordinator’s vision must be adequate to read correspondence, computer screen, forms, etc. The position requires good manual dexterity. The ABA Coordinator is frequently required to stand; walk; lift and move up to 50 pounds; play on the floor with service recipients for long periods of time (crawl, kneel, sit, bend) and reach with hands and arms. The position requires the ability to operate an automobile and a computer. The ABA Coordinator must be able to climb stairs and provide services in the service recipient’s residential and/or vocational environment.
Travel
This position requires travel, but varies based on caseload. While performing the duties of this position, the ABA Coordinator travels by their own automobile and is exposed to changing weather conditions. The ABA Coordinator must maintain personal insurance of the vehicle that they utilize during work hours. Current Vehicle Insurance Verification must be uploaded to the electronic employee file at the beginning of employment and updated each time the current term expires.
Classification and Compensation
The ABA Coordinator role is a salaried position. Payroll is processed bi-weekly, constituting 26 annual pay periods.
Benefits (Full-Time Status):
- Salaried position, base rate ($38,000-$40,000) incentive pay
- Eligible to earn up to $20,000 annual in incentive pay when expectations are met (as outlined in the ABA Coordinator Incentive Plan).
- Medical/Dental/Vision Insurance (Peak will pay 50% of these insurance premiums for the employee). Dependents can be added as needed, but the employee is responsible for 100% of those costs.
