Duties
- Customer communications and scheduling
- Invoicing and sub contractor communications
- Organize and file documents systematically, ensuring easy retrieval and compliance with company standards
- Support office management activities such as calendar management, appointment scheduling, and meeting coordination
- Provide customer support by addressing inquiries via phone or email promptly and courteously
- Assist with clerical tasks including proofreading documents, preparing correspondence, and managing office supplies
Experience
- Preferred but not needed
- Prior office experience or administrative experience demonstrating strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for document creation and communication
- Familiarity with QuickBooks or bookkeeping software is preferred for handling basic financial transactions
- Experience working at a front desk or as a receptionist in medical or dental offices is advantageous
- Bilingual abilities are highly valued to serve diverse client needs effectively
- Demonstrated ability to manage multiple tasks efficiently through excellent time management skills
- Strong customer service background with professional phone etiquette and interpersonal skills
