What are the responsibilities and job description for the Administrative Assistant position at PEACE, Inc.?
SCHEDULE: Weekdays 7:30am to 3:30pm.
QUALIFICATIONS:
- Certificate or Degree in a business field, or equivalent formal education.
- Minimum of three years experience working in a professional fast-paced office environment with confidential information.
- Computer literate with knowledge of Microsoft Word and Excel.
- Good verbal and written skills and ability to interact with all levels of staff and public.
- Must have good organizational and analytical skills and be able to work independently and accurately.
RESPONSIBILITIES:
1. Process initial client applications and re-certifications.
2. Complete client Building Work Summaries to reflect project costs.
3. Send Building Owner Agreements to clients.
4. Develop an extensive knowledge of all program policies and procedures.
5. Develop and maintain working relationships with funding sources and other supporting agencies.
6. Set up client files and maintain department filing system.
7. Prepare contracts, invoice job costs, and monitor receivables as needed.
8. Maintain program tracking database, tool and program support logs.
9. Assist in generating and monitoring daily inventory control sheets.
10. Using a multi-line system, answer telephone inquiries in a pleasant and professional manner, determine callers’ needs and direct them to the appropriate staff.
