Duties
- Manage patient scheduling for orthodontic treatments, consultations, and follow-up appointments using Dentrix Ascend.
- Verify insurance coverage and benefits, including insurance verification for orthodontic procedures, ensuring accurate billing and coding.
- Review medical records and documentation to ensure completeness and compliance with HIPAA regulations while maintaining meticulous dental billing and coding practices.
- Assist patients with intake procedures, explaining treatment plans, care instructions, and financial responsibilities clearly and professionally.
- Coordinate with our lab to facilitate timely delivery of orthodontic appliances and materials.
- Maintain accurate documentation of patient interactions, treatment plans, insurance claims, and payment records in Dentrix.
- Provide exceptional front desk support including answering multi-line phone systems, managing appointment reminders, handling patient inquiries with excellent phone etiquette, and performing clerical tasks like filing, data entry (including 10 key typing), and maintaining dental records.
- Support office management by overseeing administrative support functions such as insurance verification, billing processes, patient intake procedures, and organization.
- Ensure compliance with HIPAA standards by safeguarding patient information during all interactions and documentation review processes.
Qualifications
- Proven experience in a dental or orthodontic clinic setting with strong knowledge of dental terminology and coding practices-minimum of 2 years.
- Familiarity with EMR/EHR systems -Dentrix ; proficiency in Microsoft Office Suite is essential.
- Knowledge of insurance verification processes, billing/coding including CPT coding for orthodontic procedures, and health information management standards.
- Excellent organizational skills with the ability to multitask efficiently in a busy clinical environment.
- Strong communication skills paired with professional phone etiquette; bilingual abilities are a plus to serve diverse patient populations.
- Prior experience with practice management software tasks such as appointment scheduling, records management, filing systems (including electronic filing), and front desk operations.
- Ability to handle sensitive information discreetly while maintaining compliance with HIPAA regulations.
- Dental office experience is required; familiarity with dental practice management software Dentrix is advantageous.
