Construction Administrator
We are seeking an experienced Construction Administrator to support the day-to-day accounting, payroll, and administrative operations of a growing mechanical contracting firm. This individual will play a key role in keeping projects organized, supporting field operations, and ensuring payroll, billing, and project documentation are processed accurately and on time.
Responsibilities
- Process weekly payroll and timesheets for field and office personnel
- Manage certified payroll reporting for public works projects
- Maintain employee records, payroll documentation, and compliance files
- Assist with accounts payable, accounts receivable, and general bookkeeping functions
- Utilize QuickBooks for payroll, invoicing, reporting, and financial tracking
- Support project managers with contracts, change orders, purchase orders, and project documentation
- Track subcontractor compliance, insurance certificates, and lien waivers
- Assist with project billing and collection efforts
- Maintain organized project files and support overall office operations
- Coordinate with field personnel, vendors, subcontractors, and clients as needed
Qualifications
- 5–10 years of construction office administration experience
- Strong QuickBooks experience required
- Experience processing certified payroll required
- Experience managing payroll, timesheets, and construction-related accounting functions
- Familiarity with public works projects and prevailing wage requirements is a major plus
- Strong organizational and communication skills
- Ability to manage multiple priorities in a fast-paced construction environment
- Proficient with Microsoft Office Suite, including Excel
