Position Summary

Palm Beach Career College is seeking a professional, energetic, and results-driven Admissions Representative to join our team. The Admissions Representative will guide prospective students through every stage of the admissions process—from initial inquiry through enrollment and orientation.

The ideal candidate is an excellent communicator who enjoys helping others, can confidently explain educational opportunities, follows up consistently, and is committed to helping prospective students make informed decisions about their education and career goals.

Essential Duties and Responsibilities

  • Respond promptly and professionally to prospective-student inquiries received by telephone, email, text message, website, social media, and in person.
  • Contact new leads and maintain consistent, timely follow-up with prospective students.
  • Conduct admissions interviews, information sessions, and campus tours.
  • Clearly and accurately explain the College’s programs, admissions requirements, schedules, tuition, fees, payment options, institutional policies, and student expectations.
  • Assess each applicant’s interests, qualifications, and career goals to help identify an appropriate program.
  • Assist applicants with completing admissions applications, enrollment documents, and other required forms.
  • Collect and review required admissions documentation, including identification, transcripts, diplomas, test results, and other supporting records.
  • Ensure that admissions files are accurate, complete, confidential, and maintained in accordance with institutional policies and applicable regulations.
  • Schedule applicants for admissions testing, interviews, orientations, and other required appointments.
  • Follow up with applicants regarding missing documents, enrollment requirements, deadlines, and upcoming program start dates.
  • Maintain accurate and timely records of all communications and admissions activities in the College’s student information system or lead-management platform.
  • Meet established expectations for outreach, appointments, applications, enrollments, and student starts while consistently maintaining ethical admissions practices.
  • Collaborate with academic, administrative, financial, and student-services personnel to provide applicants with a smooth transition from prospective student to enrolled student.
  • Participate in open houses, community events, career fairs, recruitment activities, and school information sessions.
  • Deliver excellent customer service to prospective students, current students, families, visitors, and community partners.
  • Represent Palm Beach Career College professionally and positively in all communications and interactions.
  • Protect student privacy and maintain the confidentiality of educational, financial, and personal information.
  • Perform other duties as assigned by College leadership.

Required Qualifications

  • High school diploma or equivalent required; an associate or bachelor’s degree is preferred.
  • At least one year of experience in admissions, enrollment, recruitment, sales, customer service, education, healthcare, or administrative support is preferred.
  • Strong verbal, written, telephone, and interpersonal communication skills.
  • Excellent organizational, follow-up, and time-management abilities.
  • Ability to manage multiple applicants, deadlines, and priorities with accuracy and professionalism.
  • Ability to communicate effectively with individuals from diverse cultural, educational, and professional backgrounds.
  • Proficiency with email, Microsoft Excel, Microsoft Office, Google Workspace, electronic records, and basic office technology.
  • Ability to learn and effectively use student information systems, customer relationship management platforms, and AI-supported productivity tools.
  • Professional appearance, dependable attendance, positive attitude, and strong work ethic.
  • Ability to work independently while collaborating effectively as part of a team.

Preferred Qualifications

  • Previous experience in career-school, college, vocational, nursing, allied-health, or healthcare-program admissions.
  • Experience working with prospective adult learners and nontraditional students.
  • Experience with lead follow-up, appointment setting, enrollment conversion, and student retention.
  • Knowledge of ethical admissions practices and student-record confidentiality requirements.
  • Bilingual proficiency in English and Spanish, Haitian Creole, or another commonly spoken community language is a plus.

Physical and Work Requirements

  • Ability to work in a professional office and educational environment.
  • Ability to remain seated or standing for extended periods and regularly use a computer and telephone.
