Schedule
This position works a rotating schedule:
- Monday through Friday: 8:00 AM – 5:00 PM
- Saturdays: 9:00 AM – 5:00 PM
- One week: Tuesday off
- Following week: Saturday off
- Approximately 40 hours per week
Position Summary
The Assistant Office Manager plays a key role in supporting dealership operations, sales administration, inventory management, vendor communication, and office organization. This individual will work closely with management to ensure accurate records, timely processing of dealership paperwork, and a consistent online presence across our website and social media platforms.
The ideal candidate is highly organized, comfortable with technology, and confident navigating websites, social media platforms, and business software. This individual should be able to quickly learn new systems, maintain accurate online inventory listings, and help ensure the dealership maintains a strong digital presence.
Key ResponsibilitiesOffice Administration
- Answer incoming phone calls and direct inquiries appropriately
- Maintain organized office records and documentation
- Assist with daily administrative tasks and dealership operations
- Support management with various projects and office initiatives
Deal Processing & Sales Support
- Process sold deal paperwork and complete deal packages
- Ensure documentation is accurate and complete
- Assist with maintaining customer and inventory records
Inventory & Website Management
- Maintain accurate inventory information on dealership websites
- Update vehicle listings, pricing, descriptions, specifications, and photos
- Verify online inventory accuracy and availability
- Assist in maintaining a professional and accurate online presence
Marketing & Social Media
- Create and schedule social media content
- Assist with dealership promotions and online marketing efforts
- Maintain an active and professional Facebook presence
- Support the dealership's digital marketing initiatives
Accounting & Vendor Support
- Process accounts payable and vendor invoices
- Work with lenders and vendors to resolve administrative issues
- Handle vendor and manufacturer support requests
- Assist with office reporting and record keeping
QualificationsPreferred
- 2 years of office administration experience
- Automotive, powersports, RV, marine, or dealership experience preferred
- Experience processing paperwork and managing multiple priorities
- Experience with social media platforms, inventory management, or website administration
Required
- Must be technology and internet savvy
- Must be comfortable using Facebook and social media platforms for business purposes
- Comfortable learning and using multiple software systems and web-based tools
- Strong organizational and time management skills
