Reports to: Associate Director of Philanthropy
The Database Administrator position works closely with the Donor Relations team and is responsible for strategizing, implementing, overseeing, and maintaining the integrity of the organization’s donor database, Raiser’s Edge. This includes the establishment of database principles and guidelines, continued data hygiene, and applying any other technical solutions to minimize risk and maximize overall philanthropic investment. Key functions consist of managing Raiser’s Edge, as well as any other systems utilized for fundraising activities; creating and maintaining policies and procedures, as well as system-specific training manuals; leading efforts to streamline and systematize entry systems and creating efficiencies in entry procedures; overseeing and participating in the reconciliation process between Raiser’s Edge and the Finance department; producing regular and ad hoc reports and data files; providing accurate reporting of fundraising activities; supporting the mission, goals, and philosophy of PAWS.
Essential Duties and Responsibilities include the following. Other duties, responsibilities, and activities may change or be assigned at any time with or without notice. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
In accordance with organizational policies, duties include but are not limited to:
- Sole administrator of Raiser’s Edge, striving for timeliness, accuracy and completeness of gift and biographical information. Support Donor Relations team and Finance to ensure that gift data is properly coded. This includes participating in Event gift entry, as needed, and during times of high volume.
- Identify areas of “unclean” data, and create a work plan to systematically enhance, or “clean up,” Raiser’s Edge. This includes the use of data appends provided through Blackbaud’s Data Hygiene Center.
- Develop and continually improve policies and procedures on entering, extracting, and interpreting data for efficiency and efficacy. Innovate and continuously improve standard operating procedures; This includes working with the Events team on interdependent policies for Wild Night (the PAWS gala), PAWSwalk, or any special event remotely reliant on donor relations systems.
- Segment the database by gift, engagement, and other identified priority levels, maintaining the accuracy of all (e)mailing and (e)appeal lists.
- Create, revise, and maintain manuals and other resource materials needed for staff trainings as well as provide said staff training to individuals wanting access to Raiser’s Edge and NXT for legitimate business needs.
- Oversee and advise the data entry of prospect management information. Coordinate with PAWS leadership on prospect management needs and processes, including setting and tracking goals and priorities, and advising on the status of prospect management actions. Oversee and manage wealth screening and technology platforms relevant to prospect research.
- Manage all advancement systems – Raiser’s Edge, NXT, Online Express, Blackbaud Merchant Services, Classy, and more – to ensure they are maintained and updated as needed to guarantee high levels of performance, security, accessibility, and reliability. In conjunction with Events team, manage Event software, such as Greater Giving.
- Donor Cultivation & Stewardship Strategies
- Prepare all needed (e)mailing and (e)appeal lists for communication pieces.
- Maintain accurate constituent records. Process hard bounces, opt-outs, and email subscriptions. Update constituent records upon request by internal or external customers.
- Financial Reconciliation & Reporting
- Serve as the direct liaison to the Finance office for all reconciliations, ensuring monies are accurately applied. Recommends and make systems modifications, as necessary.
- Database & Systems Management
- Stay current with trends in philanthropy as it relates to the technical developments of various platforms, and how to (or if we should) apply them to our advancement operations.
- Donor Cultivation & Stewardship Strategies
- Ensure addresses (including emails) are accurate by performing quarterly AddressFinder and NCOA updates, providing our CAAS certificate to the appropriate mail house.
- Prepare routine and ad hoc queries, dashboards, exports, and reports as needed for internal and external (in tandem with the Finance office) reporting.
- Design and implement a metrics reporting system to track and analyze all advancement activities.
- Participate in and provide input to the annual and strategic planning process for the Philanthropy department; accomplish assignments by established deadlines.
- Daily verbal or written communication with other PAWS clients, staff, volunteers, and donors by phone, email or direct contact. Respond to question or concerns.
- Occasional communication with various outside vendors by phone, email, or direct contact.
- Assist with internal and external events as needed.
- May perform other related duties as required.

EDUCATION:
- Bachelor’s degree highly preferred, or equivalent education/experience
RELATED EXPERIENCE:
- Minimum 3 years’ experience in fundraising and donor database management. Fundraising and special event experience in the animal welfare or environmental field is desirable.

TECHNICAL SKILLS:
To perform this job successfully, an individual should have knowledge of the following.
- Must possess expert knowledge of Raiser’s Edge. Experience with NXT and related fundraising software suites is desirable, as well as experience with digital fundraising software (such as peer to peer).
- Strong proficiency in Microsoft Excel, Word, and database programs; experience with Online Express or similar mass email systems; HTML and other web/graphics experience a plus.
- Ability to accurately process data entry; possess a basic understanding of accounting;
- Able to read, write and speak effectively in English so that written and verbal instructions can be followed.

- As a hybrid role, the employee must have access to a dedicated home office or remote workspace and reliable high-speed internet to ensure secure system access and consistent productivity.
- While working at the Lynnwood administrative office or other PAWS locations, the employee is regularly exposed to companion animals. The noise level is typically low to moderate, though it may increase during peak activity hours or events.
- While primarily working in a professional office or remote setting, the employee may occasionally be exposed to outdoor elements and varying weather conditions while supporting signature events (e.g., PAWS Walk).
