At Paul Davis Restoration of North Dallas our clientele are primarily insurance adjusters but may also include community business owners, property owners, etc.
Job Summary
The Restoration Claims Coordinator serves as the vital link between customers, field employees, and insurance adjusters. This role is responsible for the administrative lifecycle of a restoration project—from initial first notice of loss (FNOL) to final billing—ensuring that every file "tells a story" through meticulous documentation and real-time updates.
Responsibilities
- Accept and file set up for Mitigation, Contents & Reconstruction losses
- Schedule, maintain and update Estimator and Production calendars
- Understand & adhere to Service Level Agreements with our respective insurance carriers.
- Prepare documents for customer review and signature
- Oversee the job file within RMS, XactAnalysis & Claims Workspace (Symbility) ensuring all job notes, photos, and moisture readings are uploaded daily to maintain compliance with program standards.
- Act as the primary point of contact for homeowners, providing empathetic updates on scheduling and project milestones while managing expectations.
- Coordinate the deployment of technicians to job sites, ensuring response times meet industry or carrier-specific requirements.
- Review job files for accuracy and completeness and facilitate the collection of payments from insurance carriers and customers.

Competencies – Knowledge, Skills and Abilities
- Proficiency in Office 365 (Outlook, Word, Excel)
- Restoration insurance claims preferred
- RMS, XactAnalysis and/or Claims Workspace experience
- Proactive problem-solving and willingness to help other find solutions
- Ability to review data and deductively think through what information might be missing
- Ability to manage multiple job files simultaneously in various phases of completion
