With cooling towers, fans, and refrigeration units, companies rely on brands like Marley, Recold, and SGS to provide comfort and mission critical and industrial cooling solutions.
Position Summary
The Inside Sales Representative will report to the NY Branch Manager and work closely with the Aftermarket Sales Manager to accomplish annual aftermarket sales goals. This position focuses on providing responsive customer service, accurate quotations, efficient order management, and warranty claim processing while maintaining strong communication with customers, the factory, vendors, and internal teams. This is a semi-hybrid role, with the expectation of being in the office 4 days per week, 1 day remote and spending approximately 15–20% of total time in the field.
The ideal candidate will be organized, technically inclined, and capable of managing and reprioritizing tasks in a dynamic environment. The incumbent should be a friendly, and proactive and effective communicator who can establish clear expectations with customers, manage multiple responsibilities, and contribute to building strong, lasting relationships. They should be customer-oriented, fast learners, and willing to learn on the job.

Key Responsibilities
Quoting & Opportunity Management
- Prepare and issue quotes for aftermarket parts.
- Enter and track all opportunities in the CRM system.
- Follow up on quotations to determine status and close open opportunities.
- Respond to customer inquiries regarding new and existing orders.
- Provide updates on order status, tracking, and delivery schedules.
- Ensure that orders are processed and fulfilled in line with quoted lead times.
- Maintain close communication with the manufacturing plant and vendors to confirm lead times, address obstacles, and resolve delays.
- Monitor open orders to ensure timely delivery and escalate issues when needed.
- Work in tandem with the NY Sales team to drive territory sales efforts.
- Participate in customer site visits and inspections (approx. 15–20% of time).
- Assist with outside sales activities by documenting opportunities and ensuring smooth follow-up.
- Process warranty claims in collaboration with the NY Sales team ensuring accurate documentation and timely resolution.
- Provide backup for office project administrator, including handling submittals, order management and scheduling office technician.
- Ability to climb ladders and work at heights during site visits.
- Comfortable working on rooftops and cooling towers.
- Ability to lift up to 20 lbs.
- Trade school minimum. Bachelor’s degree preferred, ideally in Engineering, Business, or related field.
- Prior experience in sales support, customer service, or order management required.
- Experience using SAP.
- Knowledge of HVAC systems, cooling towers, or industrial equipment is a plus but not required.
- Strong organizational skills with attention to detail and follow-through.
- Proficiency in Microsoft Office (Excel, Word, Outlook); familiarity with ERP/CRM systems a plus.
- Strong communication skills, both written and verbal.
