Job Title: Installation & Sales Support Coordinator                      

Location: On Site – Blythewood, SC (Reports to VP Sales)


Job Description: The Installation & Sales Support Coordinator plays a critical role in supporting our sales team, customers, and third-party installation partners. This position ensures that installation projects are scheduled, executed, and completed smoothly while maintaining a high level of customer satisfaction.


The coordinator serves as the central liaison between sales reps, customers, and installation companies. They will managing schedules, validate contracts, ensure insurance requirements are met, and provide timely updates. In addition, this role supports the sales team with essential administrative tasks such as RMAs, shipping forms, and documentation. The goal is to streamline post-sale operations, improve customer experience, and enable sales reps to focus on driving new revenue.


Key Responsibilities:

Installation Coordination

  • Act as the primary point of contact for customers and installation partners after a sale is closed
  • Coordinate installation schedules and ensure all parties receive accurate, up-to-date information
  • Confirm installation contract terms, pricing, and scope of work
  • Verify insurance certificates, documentation, and compliance requirements for all contractors
  • Track installation progress from scheduling to completion, escalating delays or issues as needed
  • Ensure installations are performed to customer expectations and company standards
  • Document completion status and obtain customer confirmation or sign-off

Customer & Partner Communication

  • Maintain clear, timely communication with customers regarding timelines, expectations, and next steps
  • Provide updates to sales reps on installation progress and customer feedback
  • Build strong relationships with installation partners to improve consistency, reliability, and throughput

Sales Administrative Support

  • Assist sales reps with administrative tasks including RMAs, shipping forms, warranty paperwork, and quoting support
  • Enter or update data in CRM/ERP systems (Salesforce, Syspro, or similar)
  • Help maintain accurate sales documentation, order status, and installation records
  • Support customer service with ticket routing or information requests

Reporting & Process Management

  • Track installation volume, timelines, issues, and completion metrics
  • Provide weekly and monthly status reports to leadership and the sales team
  • Identify process gaps and recommend improvements to increase installation throughput
  • Maintain organized files, documentation, and compliance records


Qualifications:

  • 2 years of experience in project coordination, scheduling, customer service, or sales support
  • Strong communication skills and ability to work with customers, technicians, and internal teams
  • Excellent organizational skills with the ability to manage multiple installations and priorities simultaneously
  • Strong attention to detail with experience reviewing contracts, insurance docs, or compliance paperwork
  • Comfortable working in CRM and ERP systems; Salesforce experience a plus
  • Ability to work in a fast-paced environment and maintain professionalism under pressure
