Responsibilities:
- Schedule, confirm, and manage patient appointments using medical scheduling software
- Answer and direct incoming calls, emails, and correspondence in a timely manner
- Manage physician calendars, coordinate meetings, and handle executive-level scheduling
- Prepare and organize medical records, referrals, and prior authorizations
- Assist with administrative projects, reports, and confidential executive communications
- Ensure HIPAA compliance and maintain patient confidentiality at all times
- Prior experience in a medical office, healthcare administration, or executive assistant role preferred
- Familiarity with EMR/EHR systems and medical scheduling software
- Strong knowledge of medical terminology, insurance verification, and billing processes
- Excellent organizational, multitasking, and time management skills
- Professional, polished communication skills — both written and verbal
- Ability to handle sensitive and confidential information with discretion
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- High school diploma required; Associate's or Bachelor's degree a plus
