Job Title: Vice President of Operations

Reports To: Chief Executive Officer

FLSA Status: Exempt

Summary:

The VP of Operations is responsible for providing leadership, oversight and coordination to the Operations Support Team, Field Manager and the Project Manager/Estimating Team. The VP of Operations translates the vision, mission, and strategy into operational tactics. As a member of the Lead Team, the VP of Ops plays a key role in strategic planning, setting goals and direction, and ensuring alignment with Patriot’s mission and vision. This position is responsible for providing leadership, oversight and coordination to the Operations Support Team, Field Manager and Project Manager/Estimating team. The VP of Ops will plan, direct, coordinate, and oversee operations activities in the organization, ensuring development and implementation of efficient operations and cost-effective systems to meet current and future needs of the organization.

Essential Duties and Responsibilities:

To perform this job successfully, the individual must be able to perform each of the primary duties satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

1.

Manage the Operations Support team, Field Manager and Estimating/Project Management team including coaching, teaching, training, hiring and performance management.

2.

Oversee, plan and monitor the day-to-day running of business operations to ensure smooth progress.

3.

Direct and approve customer invoices.

4.

Manage procurement processes and coordination of material and resource allocation.

5.

Review and approve vendor invoices.

6.

Oversee and back up for scheduling the field crew members.

7.

Overseeing the Field Manager to ensure the crew is meeting performance commitments and goals.

8.

Oversee timesheets in alignment with scheduled jobs.

9.

Manage team to ensure all work orders are closed out/completed within account timeframe.

10.

Monitor field performance and collaborate with Field Manager to provide support and expertise to help drive improvements.

11.

Responsible for overseeing the field crew on-call rotation process.

12.

Responsible for overseeing and participating in the after-hours emergency phone management.

13.

Provide oversight into all scheduled jobs to mitigate potential issues and manage solutions.

14.

Provide accurate job cost reports for review of completed jobs/projects.

15.

Oversee the Estimating team to ensure estimates are timely, complete and accurate to support the sales process.

16.

Manage and approve outgoing customer quotes ensuring they are executable and profitable.

17.

Integral part of the lead team.

18.

Collaborate with the lead team to develop and meet company goals while supplying expertise and guidance on operations projects and systems.

19.

Respond to customer escalations and ensure constant communication is being facilitated.

20.

Investigate, develop and implement projects, processes or activities to reduce or contain costs, increase quality levels and meet standards.

21.

Establishes, implements, and communicates the strategic direction of the organization's operations division.

22. Identifies training needs and ensures proper training is developed and provided.

23.

Drive ideas and initiatives for growth, profitability and customer retention.

24.

This role includes the issuance of a company laptop and company phone to support business needs. The position requires the ability to log in after standard business hours as needed to perform critical work, monitor operations, and respond promptly.

25.

Manage relationships/agreements with external partners/vendors.

26.

Other duties as assigned.

Qualifications / Education / Skills and Experience:

1.

Bachelor’s degree or equivalent combination of education and experience.

2. Minimum of two (2) years of experience in boilers or customer service preferred.

3. Excellent verbal and written communication skills.

4. Strong supervisory and leadership skills.

5. Excellent organizational skills, attention to detail and time management.

6. Strong analytical and problem-solving skills.

7. Proficient with MS Excel, Word and Outlook plus BuildOps or related software.

8. Professional and friendly demeanor, willing to go above and beyond to accomplish the mission.

9. Ability to work under pressure and constantly make correct decisions with limited input and determine when to escalate issues.

10. Ability to critically think and solve problems.

11. Must be self-motivated and punctual.

12. Ability to work independently with minimal supervision.

13. Demonstrate ability to lead others and provide detailed instructions.

14. Experience supervising, coaching and developing staff.

Physical Demands:

1. Sitting for long periods of time, walking, finger dexterity, repetitive motions, talking, hearing and visual activity.

2. Occasional lifting (up to 20 pounds).
