Schedule: Monday–Friday, 8:00 AM–5:00 PM (with occasional early/late hours, weekends, or holidays as needed)

Pathways to Life, Inc. is seeking a highly organized and detail-oriented ACTT Administrative Assistant (Program Assistant) to support our Assertive Community Treatment Team. This role is essential to ensuring smooth non-clinical operations, accurate documentation, and continued fidelity to TMACT (Tool for Measurement of ACT) standards. Key Responsibilities
Program Coordination & Administrative Support

Serve as the primary note taker for all ACT Team meetings and distribute accurate minutes in a timely manner.

Organize, schedule, and prepare materials for team meetings, trainings, and program reviews.

Maintain up-to-date records, logs, and documentation according to ACTT requirements.
TMACT Compliance & Quality Assurance

Support ACTT service delivery adherence to TMACT standards and best practices.

Assist with preparation for TMACT fidelity reviews, including collecting data and supporting documentation.

Help the Team Leader track fidelity measures, follow-up tasks, and quality indicators.
Member Care Coordination Support

Coordinate member appointments, follow-ups, and linkages with medical, behavioral health, and community resources.

Keep member records current, including PCPs, service notes, and progress documents.

Communicate effectively with all team members to ensure coordinated and consistent care.
Data & Reporting

Track and maintain program data such as caseload reports, service delivery metrics, and fidelity documentation.

Assist the Team Leader with monthly, quarterly, and annual reporting requirements.
Team Collaboration

Actively participate in ACT Team meetings and required trainings.

Assist in onboarding new staff and provide orientation to ACTT processes and TMACT expectations.
Qualifications

High school diploma or equivalent required.

Strong organizational and administrative skills with excellent typing, grammar, and proofreading abilities.

Proficient in technical writing and clear English verbal and written communication.

Experience with document control, scanning, uploading, emailing, and database systems.

Ability to prioritize tasks, work independently, make routine decisions, and multitask in a fast-paced environment.
Additional Requirements

Valid driver’s license and ability to drive as needed.

Ability to lift or move up to 25 lbs.

Comfort working in environments where exposure to infectious diseases or behavioral crises may occur.
