The Closing Coordinator plays a vital role in ensuring smooth, accurate, and timely real estate closing processes. This position supports the Closing/Settlement department by preparing, reviewing, and coordinating closing packages while maintaining excellent communication with customers, partners, and internal teams.
Responsibilities:
- Prepare preliminary fee sheets and pre-ALTA documents for lender disclosures and pre-balancing.
- Review, download, and assemble loan documents for delivery to notaries/attorneys.
- Monitor all outstanding closing packages to ensure timely completion.
- Manage the closing calendar and monitor shared departmental email inboxes.
- Monitor internal work queues and make updates to initial documents as needed.
- Manage Closing Coordinator workflow to ensure timely execution of all tasks.
- Order and track updated payoffs, including mortgage payoffs, taxes, title commitments, and subordinations.
- Serve as a professional point of contact for customers, notaries, attorneys, and borrowers regarding closing packages.
- Respond promptly to customer inquiries via email, phone, video conference, or in person.
- Provide support to the disbursement department and assist with funding-related closing conditions.
- Prepare, review, and deliver reports to customers as required.
- Consistently meet production and capacity expectations as defined by management.
- Contribute to team goals, including meeting client scorecard metrics.
- Adhere to company policies, regulatory requirements, and mandatory training deadlines.
Requirements:
- At least 1 year of mortgage experience preffered
- Proficiency with basic computer applications, including Microsoft Office Suite and Outlook.
- Ability to work efficiently in a fast-paced environment under strict deadlines.
- Strong attention to detail and excellent organizational skills.
- Ability to prioritize multiple tasks and projects simultaneously.
- Demonstrated ability to work independently, exercise sound judgment, and take initiative.
- Excellent written and verbal communication that is clear, professional, and grammatically accurate.
