SUMMARY
We’re seeking a highly organized, proactive Junior Operations & Project Associate to support daily office operations, facilities management, and cross-functional projects. This role sits at the intersection of administrative excellence and light project management, working closely with the VP of Commercial Sales and external vendors (including architects and facilities partners) to keep initiatives on track. This is an ideal role for a go-getter who takes ownership, thrives on structure, and enjoys being the person who makes things run smoothly behind the scenes.
RESPONSIBILITIES
Office & Facilities Support
- Assist with daily office upkeep, including supplies, mail, shipments, shared spaces, and office equipment
- Help coordinate with building management and facilities vendors for maintenance, repairs, cleaning, and access requests
- Support basic IT setup and troubleshooting for new hires in coordination with the Brazil-based IT lead
- Help ensure conference rooms and showroom spaces are organized and ready for meetings and appointments
Administrative & Operational Support
- Help organize and maintain administrative, legal, and operational documents and shared folders
- Assist with scheduling meetings, maintaining internal calendars, and coordinating team logistics
- Support preparation of reports, presentations, and internal communications
- Assist with processing expense reports, vendor invoices, and operational payments, and help track budgets
- Support compliance with vendor contracts, leases, and internal approval processes
Projects, Vendors & Events
- Support internal projects by helping track timelines, tasks, and next steps, and flag issues as needed
- Assist with coordination between internal teams and external vendors
- Help maintain project trackers and provide status updates
- Support planning and execution of key events (Market Week, NYFW, showroom appointments, influencer visits)
- Assist with coordinating samples, deliveries, and logistics
QUALIFICATIONS
- 0-2 years of administrative, office coordination, operations, or similar experience (retail or fashion industry experience preferred)
- Strong proficiency with Google Workspace and/or Microsoft Office Suite
- Strong communication skills — written, verbal, and interpersonal
- Ability to work onsite full-time in a fast-paced, dynamic environment
