Marketing Coordinator II

Position Overview

Passero Associates is seeking a Marketing Coordinator II to join our Rochester, NY office. This is a full-time position offering complete health, dental, and 401k benefits.

Reporting directly to the firm’s Marketing Manager, this candidate will serve a critical role in developing high quality, strategic proposals. Their primary responsibility will revolve around the company’s project pursuit lifecycle, contributing to contract wins while supporting business development, project teams, and firmwide initiatives. Candidates must be skilled at translating complex architectural-engineering concepts into clear, compelling written content while collaborating closely with technical staff throughout the proposal process. The role requires resourcefulness in interpreting technical message strategies, effective communication, brainstorming solutions, and working within pursuit teams from concept through final submission.

Key Responsibilities

• Lead the development of Architecture Engineering and Consulting (AEC) proposals and qualifications packages in response to industry-related RFP/RFQs for potential and existing clients, focusing on technical accuracy, strategic messaging, and compliance with client requirements.
• Work with technical team to develop client interview presentations and associated materials.
• Collaborate closely with firm leadership, project managers, and technical staff in deadline-driven environment to produce marketing-related deliverables.
• Compile, write, and edit technical content, based on information provided by project engineers, PMs, and internal subject matter experts to create cohesive cover letters, resumes, project descriptions.
• Ability to interpret content and enhance messaging with infographic charts, tables, and diagrams.
• Conduct background research, coordinate consultant materials, customize project profiles and team information, and develop strategic graphic layouts tailored to specific pursuits.
• Review work product to ensure accuracy, consistency, clarity, grammar, and compliance with client requirements and firm standards.
• Support and strengthen firmwide branding standards, messaging consistency, and social media presence to ensure alignment across all pursuit and marketing efforts.
• Maintain a keen awareness of Passero’s website, digital content, and social media platforms to enhance visibility and reinforce our technical expertise.
• Participate in the preparation of relational brochures, ads, newsletters, and other collateral that support proposal and business development efforts.
• Provide administrative and project support tasks as needed for marketing and proposal development.

Qualifications & Experience

• Bachelor’s degree in marketing, business, communications, or a related field.
• 5 years of experience within an AEC or construction/engineering firm is a must.
• Proficiency in Adobe InDesign and Microsoft Office is required, experience with additional Adobe Create Cloud Suite is a plus.
• Experience with Client Relationship Management (CRM) platforms, preferably Deltek Vantagepoint.
• Strong organizational skills, attention to detail, and proven ability to collaborate effectively with engineers, project managers, and technical staff.
• Highly skilled in both written and visual communication, with the ability to synthesize technical engineering content into clear messaging.
• Comfortable working independently and within a team environment, managing multiple concurrent deadlines.
• Brings an exemplary work ethic, strong time management, adaptability, and a creative, solutions-oriented approach to proposal development challenges.
