Key Responsibilities
Import / Export & Logistics Coordination (Primary Focus)
- Coordinate international and domestic shipments with freight forwarders
- Obtain freight quotes and support rate negotiation
- Prepare and manage shipping documents, including commercial invoices
- Monitor shipment schedules, track ETAs, and ensure timely delivery
- Review import documentation, duties, and tariffs for accuracy
- Verify freight invoices and coordinate payments
- Maintain shipment records and logistics cost tracking
- Communicate shipment updates internally and with external partners
- Support daily office operations including supplies, documentation, and coordination
- Assist with internal communications and cross-functional coordination
- Provide scheduling and logistical support for meetings and visitors
- Help organize and maintain company records and files
- Assist with invoice processing, payment coordination, and expense review
- Track sales data and support billing processes
- Help prepare purchase orders, proforma invoices, and order tracking
- Coordinate with internal teams to ensure smooth order flow
- Assist with onboarding and basic HR administrative tasks
- Support trade show coordination and event logistics
- Contribute to marketing-related tasks such as LinkedIn updates
- 2 years of experience in operations, logistics, or administrative roles
- Experience with import/export or supply chain coordination is strongly preferred
- Strong organizational skills and attention to detail
- Ability to multitask and adapt in a fast-paced environment
- Strong communication skills and a team-oriented mindset
- Proficiency in Microsoft Office (especially Excel)
- Experience working with freight forwarders or international shipping
- Basic knowledge of accounting or ERP systems
- Experience in small or mid-sized company environments
