We are seeking a detail-oriented General Affairs & Accounting Specialist to play a key role in ensuring smooth day-to-day operations of our company. This position combines general administrative support with core accounting functions, offering the opportunity to work across multiple areas of the business. You will be essential in maintaining efficient office management, accurate financial processes, and seamless internal coordination.
Key ResponsibilitiesAccounting
- Manage Accounts Receivable: Prepare and issue invoices, track payments, follow up on outstanding balances, and coordinate payment terms with customers.
- Oversee Accounts Payable: Process supplier invoices, schedule and record payments, and confirm terms with vendors.
- Handle expense processing and reimbursements, ensuring policy compliance and proper approval flows.
- Conduct banking operations, including online payments, transfers, balance checks, and monthly bank reconciliations.
- Perform journal entries and bookkeeping using accounting software (e.g., QuickBooks) for daily transactions such as sales, purchases, expenses, and payroll.
- Support monthly and annual closing, including trial balance preparation, coordinating with external accountants, and assisting during audits.
- Assist with tax-related tasks, including sales tax filings and working with external tax professionals.
- Provide payroll support as needed, coordinating with external payroll services and preparing W-2/1099 forms.
- Manage office supplies and facilities, including ordering inventory, coordinating repairs/maintenance, and ensuring a comfortable office environment.
- Oversee document and contract management, organizing internal records and maintaining vendor contracts (electronic and paper).
- Support benefits administration such as health insurance, 401(k), paid leave, and workers’ compensation, and handle employee inquiries.
- Assist with HR and labor-related tasks, including onboarding/offboarding, employment documentation, employee records updates, employee handbook management, and visa-related paperwork when needed.
- Provide reception and communication support, including greeting visitors, answering main phone lines, and managing mail/courier services.
- Coordinate meetings and events, such as reserving meeting rooms, preparing materials, and organizing company events (e.g., year-end parties, staff lunches).
- Act as a liaison for internal and external communications with group companies, headquarters, suppliers, and service providers.
- Maintain and update internal lists such as office supplies inventory, employee directory, and emergency contact information.
- Hands-on experience in general affairs and/or accounting, with a solid understanding of basic accounting principles.
- Strong communication and coordination skills, with the ability to work proactively and take ownership of tasks.
- Proficiency in Microsoft Office (especially Excel) and familiarity with accounting software (e.g., QuickBooks).
- Ability to handle business communication in English (both written and spoken).
- Background in both accounting and general affairs is highly desirable.
- Legal authorization to work in the U.S. (e.g., valid work visa, permanent residency, or equivalent).
