What are the responsibilities and job description for the Program Coordinator position at Paso Robles Youth Arts Center?
Program Coordinator is responsible for implementation of youth arts program at nonprofit afterschool art center. This position is part-time and reports to the Executive Director.
PROGRAM OPERATION
A. Operate programs and activities in accordance with the mission, goals, and strategic direction of the organization, under supervision of the Executive Director.
B. Coordinate the scheduling of classes, registration, supply orders, and class activities.
C. Coordinate Youth Arts Theatre Productions and Camps
D. Use existing program assessment protocols for evaluation and improvement
E. Assist in the recruitment of highly-qualified teachers
F. Maintain an environment that facilitates the achievement of youth development outcomes.
G. Update Sawyer Student Management system with new classes and prepare system for registration each session
BOARD SUPPORT
A. Provide Executive Director Quarterly Reports for board meetings, detailing program activities
B. Inform staff of new or changed Board objectives which involve their responsibilities
PROGRAM FUNCTIONS & MARKETING
A. Inform the Executive Director of anticipated funding requirements for new programs/student events and maintain accurate records to support needs
B. Provide the Development/Communications Coordinator with accurate and timely statistical data on programs, student attendance, and student achievements to inform grant applications and donor presentations.
C. Coordinate and attend student programs/events, as needed
D. Assist Office Administrator and Development/Communications Coordinator to create a Monthly Newsletter and programs-related marketing materials
E. Collaborate with all staff on fundraising events
F. Ensure programs flyers/marketing materials are updated, accurate, and properly distributed
VOLUNTEER COORDINATION
A. Assign volunteers to assist in programs, classes, and special events
B. Coordinate volunteer schedules and communications to support program activities
C. Ensure volunteer logs are maintained and accurate
FACILTIES & OPERATIONS
A. Inform Executive Director on any facilities maintenance issues affecting class operations
B. Assist with preparations needed for class set up and operation (ex:table arrangement, laundry)
C. Schedule classes within facilities use schedule
D. Assist with programs scheduling being mindful of various factors affecting availability
E. Ensure lighting and sound needs are met for program operations, shows and events
F. Conduct Asset Documentation with Office Administrator & Executive Director, as needed
G. Participate in safety trainings with teachers and volunteers
COMMUNITY RELATIONS
A. Be present during program operations, communicating with parents, staff, and students
B. Participate in regular parent meetings to update and inform parents
C. Communicate programs changes and updates to parents
D. Communicate with local schools to publicize our after-school programs, camps, special activities.
E. Advertise enrollment notfications with local schools.
F. Collaborate with local Youth Services Agencies.
G. Participate in opportunities for community Outreach

D. Good verbal/written communication skills with the ability to effectively communicate with a variety of audiences
E. Must be tactful and able to resolve disputes.
F. Available to work M-F, 1:30pm-7:00pm and assist with facility closing duties
G. Proficient (or willing to learn): Google (Gmail, Chrome, Drive, Docs, Sheets, Calendar, Forms, Business, permissions, sharing, etc), cloud-based file management systems, Microsoft Office Suite, Canva, Sawyer, CRM database, and Adobe Acrobat.
