Brief Description
The Rolling Hills Site Manager is responsible for the day-to-day operational management of a clinic site, ensuring smooth workflow, staff coordination, and high-quality patient care. This role acts as the primary operational leader on site, bridging clinical staff, providers, and administrative leadership to optimize clinic efficiency and patient satisfaction. The Site Manager works closely with Executive Leadership to implement policies, monitor performance, and address operational challenges.

Working Environment: Work is performed in a health clinic setting. The noise level in the work environment is usually low to moderate. Will work with blood-borne pathogens and will require OSHA training. This job routinely uses standard office equipment such as computers, telephones, photocopiers, and fax machines. Provide vaccination records to show proof of immunity for TB, Measles, Mumps, Rubella, Varicella, TDAP & Hep B. If the records are more than 10 years old, titers are required to confirm immunity.

Essential Duties/Responsibilities
- Provide senior leadership and oversee the clinic’s overall operations.
- Assist in developing agency-wide and site-specific goals to align with the clinic’s mission and vision.
- Lead efforts to promote and monitor patient satisfaction, analyze feedback, and drive initiatives for improvement.
- Ensure clinic compliance with all regulatory, accreditation, and licensing standards (e.g., HIPAA, OSHA, CDPH).
- Maintain a safe, clean, and well-functioning facility by coordinating with staff and vendors.
- Oversee daily workflow and schedules for staff, ensuring coverage and operational efficiency.
- Supervise, coach, and evaluate staff; develop improvement plans as needed.
- Collaborate with Executive Leadership to achieve Key Performance Metrics and organizational objectives.
- Develop policies and procedures and ensure proper staff training.
- Oversee site-specific Finance, IT, and HR administrative requirements.
- Ensure operational standardization across other Rolling Hills Clinic (RHC) sites.
- Manage daily medical operations, coordinate care and referrals, and promote integrated care across departments.
- Participate in staff hiring, orientation, and training in collaboration with HR and medical leadership.
- Ensure staff adherence to Advanced Access Scheduling and monitor patient scheduling.
- Promote high customer service standards through staff training and quality monitoring.
- Support and evaluate safety practices and ergonomic issues.
- Oversee and improve the patient referral system for timely coordination of care.
- Monitor access to electronic medical records for compliance and confidentiality.
- Liaise with external community resources and organizations for patient needs.
- Make staffing recommendations to the Director of Operations and Clinical Leadership.
- Partner in developing and monitoring the annual operating budget for medical services.
- Serve as point of contact for patient complaints and advocate for patient needs.
- Maintain open communication channels within the clinic team; lead regular staff meetings.
- Participate in Quality Improvement/Quality Assurance activities.
- Perform other duties as assigned.
Required Education & Experience
- Must be at least 18 years of age.
- Bachelor’s degree in healthcare administration or a related field.
- Minimum 5 years’ experience in a medical health care setting, with at least 2 years supervisory experience; or a combination of education and experience.
- Bilingual preferred.
- Experience with Indian Health Services or Tribal Health Clinic.
- Valid CPR Certification
- Valid California Driver’s License
