Brief Description

Position Summary

The Clinical Application Coordinator is the primary subject matter expert for the clinic's eClinicalWorks (eCW) Electronic Medical Record (EMR) system. This role is responsible for implementing, configuring, maintaining, and optimizing the eCW platform and other integrated clinical applications. The coordinator serves as the essential liaison between the clinic's medical, dental, and administrative staff, as well as the IT department, to ensure the EMR system enhances clinical workflows, improves data integrity, and supports the delivery of high-quality patient care to our tribal members and the surrounding community.

Essential Duties/Responsibilities

EMR System Management & Optimization

  • Serve as the primary point of contact and super-user for all eClinicalWorks (eCW) application support, configuration, and enhancement requests.
  • Collaborate with clinical and administrative leaders to analyze, design, and optimize eCW configurations, templates, forms, and workflows to support clinical and operational needs.
  • Create, modify, and manage eCW user accounts, security roles, and access protocols.
  • Participate in and help coordinate system upgrades, testing, and validation processes to ensure minimal disruption to clinical operations.

End-User Training & Support

  • Develop and deliver comprehensive eCW training for new employees onboarding and provide ongoing education for existing staff on new features and best practices.
  • Provide timely and effective "at-the-elbow" support to end-users, acting as the first point of contact for troubleshooting application issues and resolving support tickets.
  • Create and maintain clear documentation for system configurations, workflows, and user guides.

Liaison & Collaboration

  • Act as the primary bridge between clinical departments and the IT team, translating clinical requirements into technical solutions and communicating technical information in user-friendly language.
  • Work with the eClinicalWorks vendor and other third-party entities to manage interfaces (e.g., laboratory, health information exchanges) and resolve technical issues.
  • Promote a positive and collaborative atmosphere that encourages user participation and feedback for system improvements.

Data Integrity & Reporting

  • Promote awareness of the importance of data validity and security, ensuring all practices comply with HIPAA regulations.
  • Assist with data extraction and the creation of custom reports to support quality improvement initiatives, population health management, and regulatory reporting.
  • Participate in efforts to identify and correct errors and deficiencies within the electronic record.

Qualifications

Required Education & Experience

  • Bachelor’s degree in health informatics, healthcare administration, nursing or related field.
  • Two (2) years’ experience supporting an enterprise-class EMR system in a healthcare environment.
  • Demonstrated one (1) year of experience with eClinicalWorks (eCW).
  • An equivalent combination of education and relevant experience will be considered.
  • Clinical background demonstrated by work history (example: CMA/LPN)

Preferred Education & Experience

  • In-depth knowledge of the eClinicalWorks (eCW) system configuration, functionality and workflows.
  • Effective communication with community groups and medical facilities serving the American Indian community.

Licenses/Certificates

  • Valid BLS Certification, can obtain within six months of employment.
  • Valid California Driver’s License

Knowledge, Skills, Abilities

  • Strong understanding of clinical workflows in medical and/or dental settings.
  • Excellent analytical, problem-solving, and troubleshooting abilities.
  • Exceptional interpersonal, written, and oral communication skills, with a proven ability to train and support non-technical users.
  • Strong knowledge of HIPAA rules and regulations.
  • Ability to manage multiple projects and priorities in a dynamic environment.

Working Environment & Physical Demands

Working Environment: Work is performed in a health clinic setting. The noise level in the work environment is usually low to moderate. Will work with blood-borne pathogens and will require OSHA training. This job routinely uses standard office equipment such as computers, telephones, photocopiers, and fax machines. The employee frequently is required to stand, walk, sit, use hands to finger, handle, or feel; and reach with hands and arms. The employee is occasionally required to stoop. The employee must occasionally lift and/or move up to 25 pounds. Position may require exertion up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Background Check Requirements:

Pre-employment Drug Testing and a Department of Justice Fingerprinting clearance through Federal, State and Child Abuse Index is a contingency for an offer of employment-must be maintained throughout employment.

Criminal clearances are obtained to protect the welfare and safety of clients receiving services at Rolling Hills Clinic.

Vaccination Requirements

Provide vaccination records to show proof of immunity for TB, Measles, Mumps, Rubella, Varicella, TDAP & Hep B. If the records are more than 10 years old, titers are required to confirm immunity.

Employment with Rolling Hills Clinic is voluntarily entered into. All RHC personnel are employed on an at-will basis. At-will employment may be terminated with or without cause, and with or without notice at any time by the employee or by RHC.
