What are the responsibilities and job description for the Finance Assistant | Part-Time position at Partyman Catering?
Finance Assistant | Part-Time
Partyman Catering | Avon, NY$17.00-$19.00 /hour | Approximately 16–24 hours/week
If you’re looking for an opportunity to build real-world finance and accounting experience beyond the classroom, this may be the role for you.
Partyman Catering is looking for a part-time Finance Assistant to join our administrative team. This is a hands-on position working closely with our Finance Coordinator to support the day-to-day financial operations of a busy catering and events company.
We’re looking for someone who understands the basics of accounting, has experience working in accounting or bookkeeping software, and genuinely enjoys accurate, organized work. You do not need years of professional accounting experience, but you do need enough foundational knowledge to understand the work you’re doing and why accuracy matters.
This could be a strong fit for a current accounting, finance, or business student whose course schedule allows for consistent daytime availability, a recent graduate looking to build practical experience, or someone who has developed equivalent skills through bookkeeping or administrative finance experience.
What You’ll Actually Be Doing
This isn’t a position where you’ll spend your entire day filing paperwork or watching someone else do the accounting. You’ll be directly involved in recurring Finance Department processes, including:
- Processing customer payments in QuickBooks
- Transferring customer invoices from Caterease into QuickBooks
- Organizing and maintaining financial records and receipts
- Matching receipts with account transactions
- Supporting accurate QuickBooks records
- Assisting with other recurring Finance Department responsibilities
We will teach you our processes and Caterease. Familiarity with accounting software, however, is important coming into the role.
Where the Role Can Grow
We want the person in this position to become increasingly capable and independent as they learn our systems.
Depending on performance, experience, interest, and department needs, future responsibilities may include:
- Entering vendor payments
- Assisting with credit-card account reconciliation
- Preparing and distributing financial reports
- Researching and correcting transactional discrepancies
- Supporting additional Finance Department processes
- Cross-functional exposure to payroll and other business administration functions
These are opportunities for growth rather than Day 1 expectations. Our priority is finding someone who can master the fundamentals first and build from there.
What We’re Looking For
Basic accounting knowledge is required. You should understand foundational accounting principles and financial transactions and have recent experience using accounting or bookkeeping software.
QuickBooks Online experience is strongly preferred, but experience with another accounting platform may translate well. Spreadsheet experience is also important, with Excel or Google Sheets proficiency preferred. Comfort working on Apple computers is a plus.
Education in Accounting, Finance, Business Administration, or a related field is preferred, whether completed or currently in progress. Relevant professional experience can absolutely substitute for formal education beyond high school.
More than anything, we’re looking for someone who:
- Pays close attention to details and catches when something doesn’t look right
- Takes accuracy and deadlines seriously
- Is organized and able to manage recurring responsibilities
- Is comfortable learning multiple software systems
- Can research a discrepancy rather than simply passing it along
- Communicates well and asks questions when needed
- Can be trusted with confidential financial information
- Works independently while still being part of a collaborative team
Schedule
This position averages approximately 16–24 hours per week.
Tuesday availability from 9:00 AM–5:00 PM is required. Additional hours will generally fall Wednesday through Friday based on Finance Department workload.
There is some flexibility in how those additional hours are structured. For example, someone looking for shorter daytime shifts such as 9:00 AM–3:00 PM across 3–4 days may be a great fit.
Additional hours may become available as workload or responsibilities grow.
Compensation & Benefits
$17.00-$19.00 /hour based on qualifications and relevant experience. Candidates with QuickBooks Online experience, strong spreadsheet skills, and experience working with Apple computers may qualify toward the higher end of the range.
Benefits include:
- Up to 4% 401(k) retirement match
- NYS Paid Sick Leave
- Paid holidays
- Health, dental, and vision reimbursement for employees who meet eligibility requirements, including maintaining an average of at least 20 hours per week
- Employee scholarship opportunities
- Team-building events, team lunches, milestone recognition, and other company events
The position is hourly and non-exempt.
