Position Summary
The Practice Operations Supervisor provides operational and supervisory support for designated clinic locations. This role works closely with physicians and staff to ensure efficient daily operations, high-quality patient service, and compliance with Partners in Nephrology & Endocrinology (PINE) policies and procedures.
Key Job Responsibilities
- Assist with the daily operations of the medical office clinics to ensure efficient front- and back-office workflows.
- Supervise Front Desk Coordinators, Practice Coordinators, and Medical Assistants, including hiring, onboarding, scheduling, performance management, and adherence to practice policies.
- Serve as a primary operational contact for physicians, addressing requests and resolving day-to-day issues.
- Monitor key operational metrics such as billing turnaround times, co-pay collections, patient no-shows, chart preparation, and patient and physician satisfaction.
- Implement process improvements to support efficient clinic operations and team performance.
- Develop monthly staff schedules and coordinate staffing needs with the Practice Manager.
- Oversee insurance eligibility verification, charge entry, and collaboration with revenue cycle partners.
- Ensure accurate and timely collection and deposit of patient co-pays in coordination with the finance team.
- Ensure clinic phones, scheduling, and patient communications are handled professionally and in accordance with practice guidelines.
- Monitor completion of lab results, dictation, and referrals within established timeframes.
- Assist the Practice Manager with operational projects and other duties as assigned.
Qualifications
- High school diploma or equivalent required; additional healthcare or business coursework is a plus.
- Minimum of two years of experience in a medical office, medical business office, or health insurance environment.
- Knowledge of medical clinic operations, including scheduling, patient flow, insurance verification, and revenue cycle processes.
- Prior supervisory, team leadership, or staff coordination experience required.
- Strong leadership, interpersonal, and problem-solving skills with the ability to work effectively with physicians, staff, and patients.
- Excellent communication skills and the ability to address operational issues professionally and collaboratively.
- Proficiency with PC applications and healthcare systems; familiarity with EMR/practice management systems such as pMD or CKD EHR by Epic preferred.
- Ability to travel between clinic locations and support operational needs across multiple sites.
Pay: From $60,000.00 per year
