Parsons Behle & Latimer has an opening for a part-time Office Coordinator in our Helena, Montana office. This is an in-office position averaging 20–30 hours per week. Ideally, the successful candidate will be available to work at least a few hours each day, Monday through Friday, providing consistent coverage throughout the week. We recognize that class schedules can vary, so we are happy to work with the right candidate to create a flexible schedule that accommodates their academic commitments while still meeting the needs of the position. Pay is commensurate with experience and/or education.
The ideal candidate is detail-oriented, proactive, professional, and comfortable managing multiple priorities in a busy office environment. This position is an essential part of our team and will help ensure that administrative processes run smoothly while providing professional and welcoming service to clients, visitors, and staff.
Key Responsibilities:
- Coordinate day-to-day office operations and administrative activities.
- Answer phones, respond to emails, and greet visitors professionally.
- Schedule meetings, appointments, and other office activities.
- Processing mail and packages.
- Order and maintain office supplies and coordinate with vendors as needed.
- Maintain organized electronic and physical files and records.
- Assist with invoices, expense tracking, bank deposits and other basic administrative functions.
- Support legal assistants, paralegals, and attorneys with projects, scheduling, and general administrative needs.
- Maintain confidentiality and handle sensitive information appropriately.
- Help maintain an organized, professional, efficient, and safe workplace.
Qualifications:
- 2 years general office administration or coordination experience.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Excellent attention to detail and follow-through.
- Ability to manage multiple tasks and changing priorities.
- Proficiency with Microsoft Office.
- Professional, friendly, and service-oriented approach.
- Ability to work independently and collaboratively as part of a team.
