Treatment Coordinator – Job Description
Position Summary
The Treatment Coordinator plays a vital role in supporting practice growth by guiding patients through their treatment plans, ensuring clarity, comfort, and confidence in recommended care. This position is responsible for presenting treatment, discussing financial options, scheduling appointments, and maintaining strong patient communication to ensure high case acceptance and an exceptional patient experience.
Key ResponsibilitiesPatient Communication & Education
- Welcome patients and build rapport to ensure a positive experience.
- Review and present comprehensive treatment plans in a clear, patient-friendly manner.
- Explain procedures, clinical findings, and recommended timelines for care.
- Address patient questions and concerns with empathy and professionalism.
- Follow up with patients regarding pending treatment and next steps.
Treatment Presentation & Case Acceptance
- Present financial options, including estimated insurance benefits, out-of-pocket costs, and payment plans.
- Utilize practice software to prepare accurate treatment estimates.
- Confidently guide patients toward scheduling recommended treatment.
- Track case acceptance metrics and proactively improve scheduling conversion.
Scheduling & Coordination
- Schedule patient appointments to ensure efficient workflow and provider availability.
- Coordinate same-day treatment opportunities when appropriate.
- Maintain awareness of practice goals and schedule needs, working to fill the doctor's schedule with productive treatment.
- Manage and work unscheduled treatment lists and recall lists daily.
Insurance & Financial Administration
- Verify insurance eligibility and benefits when needed.
- Understand common dental codes, coverage limitations, and pre-authorization requirements.
- Communicate clearly and accurately about financial obligations.
Administrative Support
- Document all patient interactions in the practice management software.
- Collaborate closely with the doctor, hygienists, and front office team.
- Maintain confidentiality and follow HIPAA guidelines.
- Participate in team meetings, training sessions, and performance discussions.
Qualifications
- Prior experience in dental administration, treatment coordination, sales, or a related role preferred.
- Strong communication and customer service skills.
- Ability to understand and explain clinical information.
- Familiarity with dental terminology, procedure codes, and insurance processes.
- Proficiency with dental practice software (Dentrix, Eaglesoft, Open Dental, etc.).
- Ability to multitask in a fast-paced environment.
- Detail-oriented, organized, and motivated to drive practice success.
