Overview of the Role:

We are looking for a high-performing Senior Legal & IP Operations Manager who will take on a diverse range of responsibilities, all of which will require critical thinking, impeccable attention to detail, strong project management skills, and integrity. We will look to you to identify, implement, and maintain innovative processes and systems to improve the efficiency and quality of the PICI Legal group's services.

Reporting Structure and Team:

The Senior Legal & IP Operations Manager reports to the legal department.

RESPONSIBILITIES:

  • Facilitate the workings of dynamic Legal group, including IP and contract lifecycle management.
  • Responsible for managing intake, backlog, prioritization and execution of IP and Legal operations process and technology roadmap initiatives like patent and contracts lifecycle management, records and docketing system integration and management, IP insights dashboard, and the creation of structured IP and contract data.
  • Evaluate, test, train, implement and support technology solutions.
  • Responsible for configuration, administrative management, maintenance and continuous improvements for IP and legal ops processes and third party technology solutions.
  • Assist with third party vendor management and budget oversight.
  • Work collaboratively across the organization to maintain structure, efficiency, and quality of legal services.
  • Assist in document processing, docketing, file management, report generation, and record keeping for patent and trademark prosecution under the direct supervision of an attorney.
  • Support IP diligence, freedom-to-operate, IP monitoring, and third party monitoring projects.
  • Assist in the daily operations of the legal group and individual legal group members.
  • Proactively promotes and recommends opportunities to simplify IP and legal team processes and procedures and promote more efficient ways of working, lowering costs, and minimizing risk associated with procuring and managing the IP portfolio.
  • Assist the Legal team in reviewing, drafting, and managing a wide variety of agreements, including NDAs and custom agreements.
  • Work cross-functionally with Finance, Business Operations, and other departments to ensure obligations and requirements are met.
  • Support the continuous improvement of standard form agreements and legal processes.
  • Help advise the organization on contract issues, risk assessment and mitigation, agreement structures and approval processes, and company policies and procedures.

QUALIFICATIONS AND EXPERIENCE:

  • B.A. or B.S. degree in technical field, Master’s degree in information sciences preferred.
  • 7 years-experience in the areas of legal operations, patent operations, contract administration, or tech program management in-house or at a law firm. Life science company experience preferred.
  • 10 years of patent agent or equivalent patent prosecution or portfolio support and management experience.
  • Experience working with cloud-based and on-premises IP or legal group technology solutions (e.g., e-billing, contract and document management, patent docketing, self-service contracting, e-signature, knowledge management, etc.).
  • Excellent analytical and critical thinking skills combined with a practical, quantifiable and structured approach to problem solving.
  • Ability to structure and develop thoughtful and practical recommendations driven by fact-based analysis.
  • Proven ability to partner with IP and other Legal team members to develop, implement, and maintain file management processes, procedures and/or policies.
  • Proven track record of breaking down complex processes and identifying key pain points in order to deliver business improvements.
  • Strong execution skills and the ability to maintain schedules, manage competing priorities, and successfully manage multiple simultaneous projects.
  • Working knowledge of contracts, including ability to interpret legal documents, negotiate contracts, advise business stakeholders on legal and regulatory issues, and work with attorneys to complete agreements.
  • Ability to identify, escalate, and present issues to cross-functional stakeholders.
  • Ability to sort through details while staying focused on the big picture.
  • Ability to concisely present complex ideas.
  • Self-motivated, independent, and resourceful.
  • Flexible amid an ever-changing environment.
  • Expertise with Excel, PowerPoint, Microsoft Word.

Salary : $150,000 - $185,000
