Organization Overview
Parker House Project (PHP) is a small non-profit organization that has been running a transitional housing program for homeless women with/without children since 2019. We strive to create a nurturing and healing family environment in the historic five-bedroom home where our participants live. Through our program, our priority is to help the women find their way to healing and a better life.
Job Summary
In our co-leadership model, the Administrative Director and the Program Director are jointly responsible for creating and maintaining a safe and supportive environment for the women and children who participate in the PHP program. The Administrative Director will be the hands-on manager of the business aspects of the facility and program. They will play a proactive, dynamic and influential role in the leadership and general management of the organization. The Administrative Director will be expected to have a caring heart for the demographic served by Parker House and the ability to work effectively with the Board, other staff, volunteers, community groups, funders, partners and participants.
Job Qualifications: a minimum of 2 years of work-related skill, knowledge, or experience
The employee in this position must have effective oral and written communication skills. They must be reliable, detail oriented, trustworthy and able to maintain confidentiality. They must be a team player, with experience in jobs that require cooperation. Experience working with women and children who have experienced trauma, domestic violence and/or are in addiction recovery is a plus. The person in this position will be required to have excellent computer and organizational skills, and be proficient using standard office programs, including Word, Excel, Outlook, PowerPoint, website development software, and social media management. A strong ability to maintain accurate financial records in QuickBooks, or an equivalent accounting software, is a requirement.
Required education: High school graduate. Bachelor’s degree a plus, but an appropriate combination of education and experience may be substituted for a degree.
Background screening is a requirement and employment is contingent upon a clean criminal history and background check. Driver’s record will be checked and a drug screen may be required.
Must have a valid Oregon driver’s license and auto insurance.
Summary of Key Responsibilities
Finance and Fundraising
- Work with staff and Board to prepare a comprehensive annual budget.
- Administer funds in accordance with the Board approved budget.
- Record and organize the organization’s daily financial transactions, using sound bookkeeping and accounting procedures. Report monthly at the Board of Directors’ meeting.
- Work with the Board Treasurer to review all monthly financial transactions and prepare the financial records annually for the tax accountant.
- Plan, schedule, and coordinate all grant writing and fundraising campaigns, in cooperation with the Board of Directors. Work with our grant consultant to apply for grants. Provide all required grant reports to foundations.
- Maintain an up-to-date donor database.
- Direct and coordinate publicity by giving presentations to the community, creating newsletters and annual reports, maintaining up-to-date brochures and literature and maintaining the organization’s website and
- Social media outreach.
Leadership and Management
- Maintain connection with community partners, and work cooperatively and creatively with community partners to achieve programmatic and operational goals.
- Develop, maintain and track key progress indicators and other essential metrics to report to the Board, funders and the community.
- Draft policies related to staff, volunteer and program management for Board approval and prepare procedures to implement the policies.
- Attend monthly board meetings. Report on the status and needs of the organization and/or program.
- Work in partnership with Program Director to maintain and improve the PHP program.
- In cooperation with the Board of Directors and Program Director, manage employment needs. This may include the following: staffing recommendations; developing job descriptions; preparing employee guidelines, policies, rules and regulations; and overseeing payroll.
- Oversee Volunteer program.
Administrative
- Oversee the creation and maintenance of all necessary manuals, handbooks, forms and other documents for running the Parker House Project program.
- Oversee the filing system for all necessary participant and program records, in accordance with Oregon and Federal law.
- Complete all necessary governmental reporting.
Job Type: Part-time
Pay: $22.00 - $25.00 per hour
Expected hours: No less than 15 per week
