Parent to Parent USA is a national nonprofit organization dedicated to ensuring that no parent of a child with a disability or special health care need ever feels alone. Through a network of statewide P2P Alliance Members, we connect families with trained Support Parents who provide peer mentorship, emotional support, resources and guidance. Our collective reach supports nearly nine million families annually.
Position Summary
The Operations Associate plays a key role in supporting the day-to-day functions and long-term strategic efforts of Parent to Parent USA. This position ensures operational efficiency, supports member engagement and compliance, and contributes to the organization's growth through effective administration, technology management, fund development support, and stakeholder coordination. The ideal candidate is mission-driven, detail-oriented, and comfortable working in a leadership support role within a fast-paced virtual nonprofit environment.
Key Responsibilities
Operational Management
- Collaborate with the Executive Director to develop, implement, and evaluate national programs and services.
- Support membership operations, including:
- Annual survey process and analysis
- Annual membership dues collection
- Evidence-based practices, matching systems, and training support
- Leading the Membership Committee
- Improving training curriculum and resources
- Maintain ongoing communication with Alliance Members through our internal communications platform,
- Oversee records management and database consistency.
- Support program compliance and reporting for sponsorships, sub-contracts, and grants.
- Coordinate administrative functions including scheduling, logistics, agenda creation, and support for Board of Directors meetings.
- Serve as ex-officio support to Board committees alongside the Executive Director.
- Assist in planning and implementing virtual events, including Coffee Talks, Town Halls, Committee Meetings, and Task Force Meetings.
Development & Grants Support
- Assist in managing sponsorships, grants, and contracts, including creating and tracking deliverables.
- Support the Executive Director in fund development including grant applications, sponsorship packages and other fundraising efforts.
Stakeholder & Member Coordination
- Help facilitate communication with state Alliance Members and support their staff as needed.
- Develop partnerships with other like-minded national organizations to increase reach and resources for families.
- Manage volunteer and Board engagement our internal databases, including recruitment, confidentiality processes, and onboarding.
Technology, Communications & Marketing
- Oversee technology systems and ensure data security and efficient use of digital resources.
- Maintain and update website content and operations.
- Manage social media platforms; create original content and track analytics.
- Develop marketing and promotional materials for partnerships, sponsorships, grants, and outreach initiatives.
- Produce a monthly news alert for P2P USA's national email list.
Qualifications
- Experience:
3–5 years in operations or administrative management within a nonprofit, preferably membership-based or disability-related. - Skills:
Strong organizational, communication, marketing, and problem-solving abilities. - Technical Knowledge:
Proficient with technology platforms, data management tools, social media, and virtual collaboration systems. We currently use WordPress, Canva, Meta Business Suite, Sharepoint, Microsoft 365, Zoom, PayPal, Stripe, , Airtable, JoinIt, BoardNetwork, Zeffy, and Adobe Creative Suite. - Work Style:
Able to work independently and collaboratively in a remote environment. - Required:
